Administrative Operations Coordinator

We are seeking an Administrative Operations Coordinator to strengthen our administrative operations, employee experience, and office culture within a collaborative, growing organization. Position Overview The Administrative Operations Coordinator plays a key role in supporting the day‑to‑day operations of the firm by coordinating administrative functions, assisting with special projects, supporting FAS Tax Partners, and serving as a resource for our reception and administrative team. This individual will also coordinate onboarding and orientation for new team members while helping foster a positive, engaging workplace culture. Key Responsibilities Administrative Operations Coordinate day‑to‑day administrative activities across the firm. Support office operations, vendors, supplies, equipment, and meeting logistics. Maintain confidential information with professionalism and discretion. Identify opportunities to improve administrative processes and office efficiency. Administrative Team Support Serve as a resource for reception and administrative staff. Assist with onboarding and training of new administrative team members. Help coordinate workloads and ensure adequate office coverage. Employee Experience & Culture Coordinate onboarding and orientation for new FAS team members. Help organize employee events, celebrations, and recognition initiatives. Support leadership in fostering a collaborative, team‑first culture. FAS Tax Partners Support Provide administrative support to the FAS Tax Partners team throughout the year. Assist with scheduling, client communications, document organization, and workflow coordination. Special Projects Assist with operational initiatives, technology implementations, office projects, and process improvements. Take ownership of assigned projects from planning through completion. General Operations Respond to changing business needs with a positive, team‑first attitude. Perform other duties and special projects as assigned. Qualifications 3+ years of administrative, office coordination, or similar professional experience. Strong organizational and communication skills. Ability to manage multiple priorities while maintaining professionalism and confidentiality. Proficiency with Microsoft Office applications. Preferred Qualifications Experience within a wealth management firm, CPA firm, financial services organization, or other professional services environment. Experience coordinating projects, onboarding, or employee engagement initiatives. Experience mentoring or serving as a resource for other administrative professionals.
