Job Title: Executive Personal Assistant
Location: In-Person (Mix of office, business, home office, and personal support activities)
Position Type: Full-Time ( Minimum of 30 hours per week )
Schedule: Primarily weekdays; some weekend work required based on shifting priorities.
Job Summary
We are seeking a highly organized, proactive, and discreet Executive Personal Assistant to provide seamless support across both professional and personal domains. This dual role is unique: it requires a high-level administrative professional who is equally comfortable managing corporate legal files and overseeing household logistics, personal shopping, and daily errands . The ideal candidate is detail-oriented, comfortable with shifting priorities, and capable of keeping both an office and a household running smoothly with complete discretion.
Key Responsibilities
Personal Assistant & Household Functions
- Household Management: Oversee domestic logistics, including coordinating vendor services, managing home maintenance schedules, and ensuring the smooth operation of personal spaces.
- Errands & Personal Logistics: Handle extensive personal errands such as grocery shopping, dry cleaning drop-offs, prescription pickups, and miscellaneous logistical tasks.
- Lifestyle & Schedule Coordination: Manage detailed personal calendars, schedule medical/personal appointments, coordinate travel logistics, and handle family scheduling.
Executive & Administrative Office Work
- Calendar Management: Maintain detailed professional schedules using Microsoft Outlook Calendar , efficiently organizing client meetings, court dates, and business travel.
- Legal & Business Support: Assemble and organize legal documents, transcribe notes, prepare reports, and assist with day-to-day legal administrative activities.
- Correspondence & Communication: Draft, proofread, and manage professional emails, and phone calls.
- Office & Business Management: Oversee physical or digital filing systems, handle data entry, and maintain organized supplies and records.
- Project Coordination: Track professional deadlines, organize resources, and liaise with internal teams to ensure timely project completion.
Qualifications & Skills
Experience & Certifications
- Experience: 3+ years of Executive Assistant, Personal Assistant, or Estate Management experience preferred.
- Licensure: Must possess a valid Driver's License and a clean driving record for running errands.
- Certifications: Notary Public Certification is highly desirable (may be obtained after hire).
- Languages: Bilingual proficiency in Spanish or Mandarin is a strong asset.
Technical & Soft Skills
- Software: Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Versatility: A proactive mindset with a seamless transition between corporate office environments and personal/household tasks.
- Discretion: Absolute commitment to maintaining absolute confidentiality and professionalism regarding both personal life and legal matters.
