Unit Secretary - Sub-Acute Rehab

Job Overview The Unit Secretary is responsible for providing administrative and patient‑facing duties within the sub‑acute rehabilitation setting of Mary Free Bed. The role coordinates patient care with multi‑professional departments and serves as the first line of communication for admitted patients. Key Responsibilities Communicate and exchange information in a timely manner with employees from departments in acute care hospitals that provide services for Mary Free Bed patients. Complete applicable physician orders and requests from the nursing staff and communicate according to policy or departmental processes. Confers with the responsible RN to schedule patient activities and tests. Maintain appropriate lists for nursing and physicians with updated information. Answer telephones, take messages, and communicate messages to the appropriate person. Perform clerical functions such as admissions, discharges and transfers of patients according to policies and processes. Monitor supply levels and order office supplies and equipment as needed. Receive and place items in proper storage areas. Manage multiple communication systems simultaneously, including triaging incoming calls using a multi‑line phone system, internal communication with staff, monitoring email, and face‑to‑face requests from staff, patients, and families. Orient and train new employees; complete all required training and competency assessments prior to the posted deadlines. Provide input on new services or revisions to existing policies and procedures as appropriate. Demonstrate excellent customer service and standards of behaviour, encouraging, coaching, and monitoring the same in team members. Contribute to quality improvement by identifying problems, seeking solutions, and promoting patient/family satisfaction; participate in departmental efforts to monitor and report customer service. Qualifications Minimum of 2 years of college experience or equivalent years of experience in administrative work. Computer experience with high accuracy level of data entry. Excellent telephone and customer service skills. Outstanding organizational, interpersonal communication and overall customer service skills. Ability to perform in a high‑paced environment with a positive attitude and interact with professional staff in an appropriate manner. Associate degree in a health‑related field (preferred). Knowledge of medical terminology and clinical rehabilitation (preferred). Physical Requirements Remain in a stationary position: Majority. Traverse or move around work location: Occasionally. Use keyboard: Frequently. Transport, position, and/or exert force: Up to 10pounds occasionally.
