Accounts Payable Specialist

The Accounts Payable Specialist supports daily accounts payable operations, including invoice processing, payment preparation, vendor account maintenance, reconciliations, and recordkeeping. This is a temporary position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Receive, review, and process vendor invoices, purchase orders, check requests. Match invoices to purchase orders, receiving documentation, and other required supporting records. Enter accounts payable transactions accurately and timely in the accounting system. Verify account coding, approvals, invoice amounts, payment terms, and supporting documentation before processing. Scan, index, and maintain invoices and payment records in accordance with established filing procedures. Reconcile vendor statements and research missing invoices, credits, duplicate charges, and other discrepancies. Respond to vendor and internal stakeholder inquiries regarding invoice status, payment status, and account information. Prepare invoices and payment documentation for review and scheduled payment processing. Maintain accurate vendor records and assist with vendor setup and updates as assigned. Maintain confidentiality and follow company policies, internal controls, and accounts payable procedures. Perform other related duties as assigned.

QUALIFICATIONS

Required Three (3) years’ related accounting experience Skill in the use of Excel, Word, and Outlook at an intermediate level. Preferred Experience working in the construction field or government contracting. Knowledge of Viewpoint Construction Software helpful.
