Clerical Assistant (Part-Time 30 Hours)

Assists the Therapeutic School Office Manager in the day to day operations of the center, including answering phones, filing and assisting with the lunch program.

Duties and responsibilities include:

• Aligning practice and work with the agency mission, vision, guiding principles, the trauma-informed Sanctuary Model®, the Neurosequential Model and the Re-ED philosophy.
• Assisting Office Manager in daily operation of day treatment center.
• Acting as center receptionist, as determined by center programming.
• Assisting in monitoring and upkeep of Individual Client Records (ICR) and van usage paperwork.
• Monitoring lunch program data collection and reporting on a daily basis to the Lunch Program Administrator.
• Overseeing inventory and storage of breakfast items and milk/juice supplies plus organization and distribution of breakfast and lunches.
• Handling telephone operations, including distributing calls, making appointments, taking messages, allowing access to building, etc.
• Performing general clerical duties, including filing, duplications, and record keeping as assigned by the Principal and/or other staff.
• Operating office equipment, including computer, copy and fax machines, etc.
• Participating in all required trainings, including First Aid, CPR, Blood Borne Pathogens, Cultural Responsiveness, and Standards of Practice.
• Participating in staff development activities, parent conferences, team meetings, and staff meetings as scheduled or assigned.
• Working respectfully with a culturally diverse population of clients.
• Presenting self with decorum and in dress that is appropriate to the day's activities.
• Adhering to PEP policies and procedures.

Qualifications include:

• Minimally High School Diploma.
• Successful secretarial experience.
• Word processing, Microsoft Excel, and Outlook skills.
• Knowledge of office dynamics and administrative process.
• Ability to complete assigned tasks under stressful situations.
• Effective verbal and listening communications skills.
• Excellent interpersonal skills and the ability to work effectively with others.
• Effective organizational skills and attention to detail with a high level of accuracy.
• Ability to make appropriate decisions and use sound judgment.
• Displays professionalism and team-oriented attitudes.

Physical requirements include:

• Ability to lift 0-10 pounds.
• Ability to use a computer and keyboard (eye-hand coordination and repetitive movements related to keyboarding). Can limit period of time doing computer work or take breaks per physician instruction.
• Can sit or stand per physician instructions. Take breaks as needed per physician instruction.
