SUMMARY

We are seeking a highly organized and data-driven Fleet Manager, based out of our Corporate Office in Louisville, KY, to oversee the acquisition, maintenance, and remarketing of our company's fleet. n this role, you will be responsible for maximizing vehicle uptime, minimizing operational costs, and ensuring compliance with all Department of Transportation (DOT) and safety regulations. You will also partner with managers across the organization to support and enforce fleet policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Fleet Operations & Lifecycle Management

• Asset Management: Oversee the full lifecycle of the fleet, from initial vehicle acquisition to vehicle remarketing. Develop and implement fleet sustainability initiatives.
• Maintenance Programs: Schedule and manage preventive maintenance and urgent repairs to minimize vehicle downtime and extend asset life.
• Budgeting: Manage the annual fleet budget. Manage and track operating expenses (fuel purchase program, parts, aftermarket equipment), and identify areas to reduce costs.
• Vendor Relations: Negotiate pricing and manage relationships with fleet management companies, aftermarket equipment providers and maintenance providers.

Safety & Regulatory Compliance

• Compliance: Develop and enforce strict compliance with DOT and FMCSA regulations.
• Safety Initiatives: Oversee driver safety programs, conduct safety meetings, manage crash investigations, and review driver performance data. Work closely with internal Safety Department to develop and implement safety programs.
• Inspections: Ensure all vehicles pass routine inspections and maintain accurate, audit-ready maintenance and repair records.
• Vehicle Titling & Registration: Managing the end-to-end lifecycle of company vehicles, from securing initial title processing to handling state transfers and annual licensing and registration renewals.
• MVR: Running MVR checks annually and utilize continuous MVR monitoring services for real-time alerts on suspensions, accidents, or moving violations. Use compliant MVR protocols to demonstrate that the organization actively protects the public and properly vets anyone operating company assets.
• Accident Reporting: Ensure all vehicle collisions are safely handled, thoroughly documented and reported in compliance with company policy and regulatory requirements.

Leadership & Technology

• Business Management: Maintain collaborative relationships with all internal and external stakeholders that impact fleet operations.
• Data & Telematics: Utilize and manage GPS and telematics platforms to track vehicle usage, monitor fuel consumption, and optimize productivity.

MINIMUM AND PREFERRED QUALIFICATIONS

• 3-5 years of experience in fleet operations, transportation logistics, automotive management, or a related field.
• Experience managing or supporting a corporate fleet.
• Proficiency with computerized fleet management software and Microsoft Office.

KNOWLEDGE, SKILLS AND ABILITIES

• Strong knowledge of vehicle mechanics, including diesel and gasoline engines, and fleet maintenance practices.
• Strong understanding of DOT regulations, commercial vehicle safety standards, and fleet compliance requirements.
• Knowledge of the operational and financial aspects of fleet management.
• Strong leadership and vendor management/negotiation skills.
• Strong analytical, problem-solving, and decision-making abilities.
• Ability to effectively manage multiple fleet-related priorities and coordinate with internal teams and external vendors.

WORK ENVIRONMENT

• This role will operate in a hybrid work environment, with a combination of in-office and remote work.
• Physical demands are generally limited to prolonged sitting, standing, walking, and light lifting associated with a typical office environment.
