Position Summary
Perry Street Prep seeks a highly organized, solutions-driven leader to serve as our next Operations Manager. In this role, you will own the day-to-day operational functions of the school building. Ensure that our campus runs safely, efficiently, and in a way that allows teachers and school leaders to focus fully on student learning. You will lead building operations, facilities, logistics, safety systems, vendor relationships, and the supervision of our School Operations Assistants and In-House Building Substitutes.

Key Responsibilities:

Facilities

  • Oversee daily building operations, including safety, cleanliness, and physical readiness of all campus spaces;
  • Serve as the primary point of contact for all facilities-related needs, including maintenance, repairs, and building systems;
  • Coordinate with janitorial, maintenance, and facilities contractors to ensure a fully functional, well-maintained school environment;
  • Conduct regular walkthroughs to identify and address facilities issues proactively;
  • Manage school supply inventory, ordering, and distribution to ensure staff and operational needs are consistently met;
  • Oversee the functionality and cleanliness of common areas including the front office, foyer, hallways, and shared spaces.
Daily Logistics
  • Lead the planning and execution of daily operational routines including arrival, dismissal, transitions, lunch, and recess;
  • Coordinate and execute logistics for school events, testing windows, field trips, picture days, and internal ceremonies;
  • Develop and maintain operational systems and checklists to ensure consistent daily execution;
  • Serve as the operational point person for staff, students, and families during the school day;
  • Troubleshoot and resolve operational issues in real time with urgency and calm.
Vendor & Contract Management
  • Support vendor relationships for all school-based operational services, including food service, janitorial, and other contracted partners;
  • Coordinate and organize before- and after-school program providers to ensure smooth logistics, communication, and program quality.
  • Supervise the daily implementation of the school's food and nutrition program, supporting National School Lunch Program (NSLP) compliance, accurate reporting, and quality vendor performance;
  • Process and track invoices and vendor payments for operations-related expenses in collaboration with the COO;
  • Staff Supervision & Coverage Coordination
  • Supervise School Operations Assistants (SOAs) across both morning and mid/late shifts, providing coaching, scheduling, and performance support;
  • Supervise In-House Building Substitutes, managing their daily assignments and ensuring instructional continuity in partnership with school leaders;
  • Manage the in-house substitute pool and daily coverage scheduling, including coverage pay tracking and assignments including coordination of emergency coverage needs in real time;
  • Cover front office operations in the absence of the Operations Coordinator, ensuring continuity of family-facing support, visitor management, attendance monitoring, and daily front office functions.
Safety & Compliance
  • Ensure all building safety systems, protocols, and drills (fire, lockdown, emergency) are maintained and practiced in compliance with DC regulations;
  • Supports visitor management systems (e.g., Raptor/SchoolPass) and ensure front-of-building security protocols are followed daily;
  • Maintain accurate records for immunization and health compliance, coordinating with school leadership on required actions per DC regulations;
  • Support compliance with district, charter, and state operational regulations;
  • Maintain systems for compliance documentation and audit readiness in collaboration with the COO.
Technology & Systems
  • Serve as the point of contact for submitting and tracking IT tickets, escalating issues and following up on resolution
  • Support the maintenance of operational technology platforms (SchoolPass, DeansList, etc.) by flagging issues, supporting daily use, and coordinating with IT as needed
  • Maintain operational calendars, scheduling systems, and internal communication platforms;
  • Partner with the Data & Enrollment Manager to ensure operational data (attendance, visitor logs, etc.) is accurate and current;
  • Identify and implement systems improvements to reduce inefficiencies and improve operational consistency.
Leadership & Collaboration
  • Work closely with the COO, Principal, and school leadership team to implement the school's operational vision and priorities;
  • Participate in leadership and operations team meetings, contributing operational insight and updates;
  • Collaborate across departments-with HR, finance, data/enrollment, and instructional teams-to ensure operations support schoolwide goals;
  • Draft and distribute internal operational communications, schedules, and updates as needed;
Other duties as assigned.
Supervision
The Operations Manager directly supervises the following staff and contractors:
  • School Operations Assistants (Part-Time / Hourly)
  • In-House Building Substitutes
  • Before- and after-school program providers and staff
Qualifications

Required Education and Experience
  • Bachelor's degree required
  • 3 years of experience in school, nonprofit, or organizational operations;
  • Demonstrated experience managing daily building or campus operations;
  • Experience supervising staff and managing vendor or contractor relationships;
  • Familiarity with OSSE, PCSB, and NSLP regulations preferred;
  • Proficiency with Google Workspace, Microsoft Office, and school-based operational platforms.

PHYSICAL ABILITIES: Hearing and speaking to exchange information in person and on the telephone; seeing to read, prepare, and proofread documents; sitting or standing for extended periods of time; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist and reaching overhead, above the shoulders, and horizontally to retrieve
and store books, materials, files, and supplies; pushing and/or pulling objects, lifting light to medium-weight objects.

WORK HOURS: Daily work hours are 7:45 am to 3:45 pm. This position will require flexibility to work outside of standard business hours, including evenings, weekends, and holidays, based on business needs or project deadlines.
