Position Summary - EXPERIENCED APPLICANTS ONLY WILL BE CONSIDERED. Legal Billing & eBilling Specialist We are seeking a detail-driven legal billing professional who takes ownership of the entire billing process, from client setup through invoice submission, acceptance, and collection. The ideal candidate independently manages complex insurance carrier requirements, proactively resolves issues, and ensures accurate, compliant, and timely billing. Billing Operations & Client Setup Own the billing lifecycle for assigned clients, carriers, and matters, ensuring accuracy, compliance, and timely completion. Establish and maintain client and matter billing requirements, including claim numbers, billing contacts, approved timekeepers, negotiated rates, budgets, exemptions, and billing instructions. Prepare, review, and finalize attorney prebills; process time transfers, adjustments, write-offs, and disbursements with appropriate approvals. Monitor billing deadlines, litigation budgets, and required authorizations; proactively coordinate outstanding items with attorneys. Maintain accurate billing records, supporting documentation, and client-specific procedures. Insurance Carrier Compliance & eBilling Independently interpret, document, and manage detailed insurance carrier billing guidelines, including approved rates, UTBMS codes, expense restrictions, and billing limitations. Configure and manage billing channels, including Legal Tracker, CounselLink, TyMetrix 360°, and other client-designated platforms. Prepare, validate, and submit LEDES invoices, ensuring compliance with carrier-specific requirements. Monitor invoices through submission, acceptance, audit, and payment; promptly resolve rejections, deductions, and billing discrepancies. Manage required accruals, litigation budgets, status reports, appeals, and carrier submission deadlines. Identify recurring billing issues and implement corrective measures to prevent future rejections and reductions. Accounts Receivable & Collection Performance Actively support the firm's minimum 97% collection rate objective through accurate billing, proactive follow-up, and timely issue resolution. Track invoice status, payment terms, outstanding balances, deductions, and appeals; coordinate resolution with attorneys and Accounts Receivable. Monitor aging receivables, investigate short payments, and escalate unresolved collection issues. Identify opportunities to reduce write-offs, improve invoice acceptance, and accelerate collections. Reporting, Coordination & Process Improvement Serve as the primary billing resource for assigned attorneys and clients, independently managing requirements, deadlines, and issue resolution. Maintain billing trackers, carrier requirement matrices, collection reports, and performance metrics using Excel and firm billing software. Participate in billing reviews, communicating outstanding issues, upcoming deadlines, and collection risks. Develop and improve billing SOPs, quality controls, and workflows to increase accuracy and efficiency. Collaborate with attorneys, finance, IT, and external service providers to resolve billing issues and support system improvements. Required Qualifications Proven legal billing and eBilling experience, including hands-on insurance defense billing . Strong knowledge of insurance carrier billing guidelines, LEDES formats, UTBMS codes, litigation budgets, and billing appeals. Experience with Legal Tracker, CounselLink, TyMetrix 360°, or comparable eBilling platforms. Demonstrated ability to independently manage complex billing requirements, resolve rejections, and support collection performance. Strong Excel, analytical, organizational, phone and written communication skills. Experience with legal billing software; Clio experience strongly preferred . We are looking for someone who takes action, owns the details, prevents problems before they happen, and takes responsibility for getting invoices accepted and paid—not someone who simply processes bills. Education and Experience Bachelor's degree or equivalent combination of education, training, and relevant experience. Minimum of three years of law firm billing experience, including hands-on responsibility for both traditional billing and eBilling. Ideal Candidate The ideal candidate is an experienced law firm billing professional who can manage the full billing lifecycle—from setup, prebill preparation and attorney revisions through final invoicing, electronic submission, rejection resolution, follow-up and collections. This individual should be comfortable working directly with attorneys, managing multiple client billing requirements, identifying issues before they delay billing, and taking ownership of invoices through successful submission and resolution.
