EMPLOYEE OWNER POSITION PURPOSE: As our onsite Controller, you are charged with being the technical accounting leader of your onsite Accounting department, capable of effectively interacting with and supporting: clients (both internal and external), the Division Controller, Financial Services (HQ), and Executive Leadership. This role goes beyond routine bookkeeping, you are expected to have a genuine command of accounting fundamentals, including the chart of accounts, the monthly and annual close process, and the ability to prepare accurate financial statements, so that leadership can rely on your work with confidence. This role requires energy, a winning vision, and an innate drive to motivate others by emphasizing the importance of developing a collaborative and encouraging work environment. Your chief mission is to ensure superior client satisfaction through excellent customer service as it relates to all accounting deliverables for your HOA. Just as important, you will also enthusiastically assist with other Division and/or Company-wide initiatives and projects, as needed. JOB DUTIES AND RESPONSIBILITIES: Serve as a strategic partner to the General Manager, Board and Division Leadership Own and manage the full onsite accounting cycle for the Association with guidance and input from the Division Controller and/or HQ as needed Maintain a working understanding of the chart of accounts and general ledger structure, ensuring transactions are coded consistently, accurately, and in line with Company policy Work with Division Controller and Financial Advisory Committee (FAC) to prepare annual Association budget Manage and complete the monthly and annual close process, including journal entries, accruals, prepaids, bank and account reconciliations, and supporting schedules Prepare, reconcile, and analyze the full monthly and annual financial statement package — balance sheet, income statement, statement of cash flows, and budget-to-actual variance reporting — for review by the Division Controller, General Manager and FAC Ensure the accurate and timely processing of vendor payments, customer receipts, banking activity, and other special financial projects requested by the Motorcoach Country Club Board of Directors that fall within the scope of the Company’s services Effectively communicate and interact with Division Controller and HQ located both in the Coachella Valley and in Irvine, CA to ensure excellent client service Assist the HOA FAC in analyzing and reviewing Motorcoach Country Club financial statements, budgets, and reserve funding Accurately complete and coordinate client data for tax preparation and serve as the primary onsite point of contact in responding to audit and CPA inquiries Ensure monthly and annual client A/R is closed accurately and timely; participate in customer service by calling and responding to client A/R questions; research and collect outstanding A/R. Work with reserve study specialists, in partnership with the General Manager, to complete annual reserve studies and ensure reserve fund activity is properly recorded Assist with the review of A/R & A/P Aging to resolve homeowner and vendor issues Implement and manage all aspects of Accounting internal controls Maintain a continuous improvement mindset and proactively identify, review, and implement process improvements Define standards, policies, procedures, measures, and organizational enhancements to meet both Motorcoach Country Club and Division goals Monitor and analyze revenue and EBITDA results and make recommendations for improvement based on monthly performance Become an expert in the accounting systems and practices of Motorcoach Country Club and The Management Trust Build strong internal, external, and cross-functional relationships Other duties and special projects as assigned QUALIFICATIONS: Bachelor’s degree with a primary focus in Accounting preferred, or an equivalent combination of education and progressive accounting experience Minimum of (5) years of progressive accounting experience that includes not only accounting management oversight but also direct, hands-on responsibility for month-end/year-end close and financial statement preparation Advanced and/or specialty degrees/certifications plus leadership experience is desired CPA license, CPA candidacy, or progress toward a professional accounting certification is preferred, but not required Solid working knowledge of GAAP and fund accounting principles as applied to HOAs/community associations Demonstrated, practical understanding of a chart of accounts and general ledger structure, including how to establish, maintain, and troubleshoot account coding Hands-on experience independently preparing a full financial statement package: balance sheet, income statement, statement of cash flows, and budget-to-actual variance analysis Working knowledge of the mechanics of closing the monthly and annual financials — journal entries, accruals, deferrals, prepaid amortization, and bank/account reconciliations Community association/HOA management industry experience strongly preferred Ability to work independently in a dynamic, fast-paced deadline environment while managing multiple tasks Track record of partnering with leaders to make sound, data-informed recommendations based on business need Strong MS Office skills (i.e., Excel), paired with comfort quickly mastering new software and ERP systems Ability to maintain confidence, confidentiality, and composure during sometimes difficult or complex situations High degree of attention to detail and accuracy Ultimate professionalism, interpersonal, customer service, and teamwork skills Ability to effectively communicate and partner with internal and external clients of all levels SPECIAL POSITION REQUIREMENTS: Must have and maintain a valid driver’s license, vehicle insurance, and driving record in compliance with Company policy ESSENTIAL FUNCTIONS: Use standard office equipment, including: computer, phone, copier/scanner, etc. Be stationary for periods of time Relocate up to (25) pounds Travel to and from offsite locations SUPERVISES OTHERS: No direct reports currently on the approved organizational chart; may eventually provide day-to-day functional and technical guidance to onsite accounting support staff SCHEDULE & TRAVEL: Monday-Friday from approx. 8:00 am-5:00 pm This position may require occasional long hours to meet business needs The Management Trust is an Equal Opportunity employer.
