University And Mailing Services Generalist
This position is responsible for tasks related to the daily operations of University and Mail Services, including mail processing and distribution, printing and reproduction services, office supply purchasing, distribution, and all related services.
Essential Job Duties - University Printing Services
- Answers questions from customers and vendors for the purpose of providing general information and/or status inquiries.
- Prepares completed jobs (e.g., binding, collating, shrink-wrapping, etc.) for the purpose of packaging jobs for distribution.
- Assists customers with the production requirements for duplicating jobs (e.g., recommend paper, review layout, evaluate costs, etc.) for the purpose of meeting the requester's needs in the most cost-effective and viable manner.
- Calculates resource requirements (e.g., preparation and production time and labor and material costs, etc.) for the purpose of itemizing printing costs and establishing workload priorities.
- Maintains printing machines, high-speed duplicator, equipment, tools, supplies, and work area for the purpose of ensuring a safe work environment and the availability of equipment and supplies required to complete work requests.
- Maintains work production and recharge records (manual and computer) for the purpose of projecting equipment and supply requirements and ensuring the accuracy of departmental billing.
- Performs minor repairs and routine maintenance for the purpose of maintaining bindery machines and equipment in good working condition.
- Performs standard maintenance and minor repair of duplicators and other office equipment and coordinates its repair.
- Prints a variety of materials (e.g. booklets, forms, letters, etc.) for the purpose of providing duplicated materials in accordance with work request specifications.
- Prints a wide variety of forms, catalogs and documents (e.g. multicolor reports, announcements, forms, letterhead, fliers, pamphlets, etc.) for the purpose of providing materials needed by university personnel for instruction, conferences, special events and meetings.
- Reviews materials submitted for duplication (e.g., spelling, layout, paper-request, etc.) for the purpose of correcting errors, avoiding unnecessary expenses, and meeting the requester's needs.
Essential Job Duties - University Mailing Services
- Receive, sort, and deliver mail to appropriate offices and personnel.
- Operate mailroom equipment, including scales, metering machine, package scanner, and computer.
- Accept and receive packages and mail from the U.S. Post Office, FedEx, and UPS.
- Manage and maintain current address records.
- Move and relocate parcels for efficient receipt and delivery.
- Manage accurate financial transactions.
- Operate copying and printing equipment.
- Assist in the ordering and maintenance of office supply inventories, printing, and mailing supplies.
- Deliver professional and courteous customer service.
Required Qualifications - A high school diploma or equivalent and a minimum of one-year general mailroom and printing experience is required.
Preferred Qualifications - Preference will be given to candidates who graduated from an accredited college or university and has a working knowledge of a digital printing press and mailroom functions.
