A Real Estate Transaction Coordinator is responsible for managing and organizing the administrative process of real estate transactions from the time a contract is signed until closing. The coordinator ensures that all documents are completed correctly, deadlines are met, and communication between all parties runs smoothly.

Key Responsibilities

1. Contract Management

• Review purchase agreements and contracts for completeness.
• Organize and maintain transaction documents.
• Ensure all required paperwork is signed and submitted.

2. Transaction Coordination

• Manage transactions from contract acceptance to closing.
• Track important deadlines, including inspections, appraisals, financing, and closing dates.
• Coordinate with buyers, sellers, real estate agents, lenders, and title companies.

3. Communication

• Provide regular updates to agents, clients, and other parties.
• Follow up on missing documents and outstanding tasks.
• Schedule inspections, appraisals, and closing appointments.

4. Documentation and Compliance

• Maintain accurate transaction records.
• Ensure documentation meets brokerage policies and applicable real estate regulations.
• Upload and organize files in transaction management software.

5. Closing Coordination

• Confirm that all required documents and tasks are completed before closing.
• Coordinate with title companies and lenders to help prepare for closing.
• Track closing confirmations and organize final transaction records.

Qualifications and Skills

• Strong organizational and time management skills.
• Excellent written and verbal communication.
• Attention to detail and accuracy.
• Ability to manage multiple transactions simultaneously.
• Proficiency in Microsoft Office, Google Workspace, and real estate software.
• Knowledge of real estate contracts and closing procedures.
• Ability to work independently and meet deadlines.
