Position Summary Under direct supervision, the Medical Administration Float provides backup for medical, dental, optometry, behavioral health, and business office clerks, accounting and technicians. Responsibilities include providing advocacy for Native patients by obtaining approval and utilization of benefit programs and alternative resources within the policies of the Indian Health Service, and performing reception duties. Maintains confidentiality of all privileged information. Essential Duties & Responsibilities Performs reception/appointment services, creates and updates patient charts, and accesses various computerized information. Oversees daily clerical operations of the nursing station, including establishment of patient appointments, tracking services, and case‑management functions. Notifies patients of upcoming appointments or changes via telephone or mail. Types reports, correspondence, and minutes of staff meetings. Inputs patient information into the computer as required. Coordinates patient/professional staff scheduling and contacts patients with other Tribal programs, federal, state, and local agencies. Provides identification of patients eligible for alternative resources such as Medicare, Medicaid, Medi‑Cal, Veterans Administration, Nevada Check‑Up, etc. Implements effective screening and interviewing methods. Works closely with Washoe Tribal clinical and administrative staff to utilize all alternate resources available to Native and non‑Native patients, with special attention to Contract Health Services. Conducts in‑depth patient interviews to determine eligibility for alternate resources. Ensures accurate data entry of patient demographics, including tribal verification and valid identification. Educates patients of all alternative resources available. Schedules appointments for medical, dental, optometry, and nursing services and communicates effectively to assure patients understand date, time, and place of appointment. Prepares patient charts for scheduled, same‑day appointments and walk‑ins, reviews charts for completion of lab, x‑ray, pharmacy, and return appointments, and secures necessary completion. Maintains contact with clinic staff to coordinate and control patient flow, notifying nursing staff and appropriate personnel of patient arrival. Recognizes restless and apprehensive patients and takes proper action by relaying information to professional personnel. Calms patients and resolves administrative complaints. Performs daily office and reception duties for the Medical Department, including typing, filing, appointment scheduling, check request processing, payroll and per diem check distribution, third‑party revenue bank deposits, and information/data tracking system maintenance. Performs other duties as required. Minimum Qualifications High school diploma or GED plus three years experience in a medical office setting, or an equivalent combination of education and experience. Must successfully pass a pre‑employment drug/alcohol screen and background investigation. Preference will be given to Qualified Native American Indians. Knowledge, Abilities, Skills, and Certifications Knowledge of HIPAA and the Freedom of Information Act, medical and dental terminology, modern office practices, procedures, equipment, business English, proper spelling, grammar, punctuation, and basic arithmetic. Ability to follow directions and learn necessary information efficiently; communicate effectively in English; establish and maintain professional relationships with diverse individuals; represent the organization professionally; maintain confidentiality; handle multiple tasks and meet deadlines; work independently with minimal supervision; demonstrate excellence and continual improvement; and operate business computers and office machines, including Windows, Word, Excel, Access, and presentation software. First Aid/CPR certification or ability to obtain within the first year of employment. Physical Demands Regular sitting; use hands for finger, handle, or feel; reach with hands and arms; talk or hear. Frequently walking. Occasionally operating a motor vehicle, standing, stooping, kneeling, crouching, or crawling. Occasionally lifting or moving up to 25 pounds. Work Environment Performed in an office setting with moderate noise level. Conditions for Employment The Washoe Tribe of Nevada & California requires a background check for each new hire.
