Compensation: $60,000 base salary + commission (DOE)

Job Summary

Our client is looking for a Parts Manager to organize and coordinate all functions of the parts department. This role is responsible for overseeing parts ordering, returns, inventory, pricing, purchasing, and warehouse organization while ensuring department procedures and controls are in place to maximize profitability.

The Parts Manager will be responsible for sourcing parts at competitive prices, maintaining appropriate inventory levels, processing purchase orders, ensuring orders are closed out and billed correctly, and assisting the sales team with quotes. The role also requires consistent communication with internal and external customers, timely follow-up on outstanding items, and prompt resolution of parts-related issues.

The ideal candidate is organized, detail-oriented, and proactive, with a strong sense of urgency and the ability to manage multiple responsibilities. Prior experience is preferred, along with strong sourcing, procurement, problem-solving, communication, and time management skills. Proficiency in Softbase and the ability to support and train others on the software are important for this role.

Key Responsibilities

• Organize and coordinate all functions of the parts department
• Provide exceptional customer service to internal and external customers
• Ensure parts are ordered, returned, and inventoried correctly
• Maintain accurate inventory counts and appropriate stock levels
• Maintain and organize the parts warehouse
• Understand the equipment being serviced and the parts utilized
• Ensure parts are received the same day or first thing the following morning if delivered after 4:00 p.m.
• Source parts at the best available price
• Understand market tolerance for parts markups
• Update parts pricing as vendor price increases are received
• Issue purchase orders and ensure they are closed out and billed to customers
• Assist the sales team with quotes
• Follow up on outstanding items that have not been closed out
• Maintain procedures and controls to maximize department profitability
• Answer phones, respond to emails, and return calls as discussed
• Ensure parts-related issues and problems are addressed as quickly as possible
• Maintain proficiency in Softbase and provide backup support when another team member is unavailable
• Train others on Softbase as needed
• Ensure department responsibilities are covered when absent by making sure another team member understands the duties
• Work effectively both independently and as part of a team
• Perform other related duties as assigned

Qualifications

• High school diploma or GED
• Prior experience preferred
• Knowledge of equipment being serviced and the parts utilized
• Strong sourcing and procurement skills
• Ability to maintain accurate inventory counts and organization
• Understanding of parts pricing and market tolerance for markups
• Strong sense of urgency
• Excellent problem-solving skills
• Strong attention to detail
• Effective written and verbal communication skills
• Strong organizational and planning skills
• Effective time management
• Proficiency in Softbase or the ability to learn and use the software effectively
• Ability to work independently and collaboratively with others
