Job Summary

A growing construction company in North County San Diego, CA is seeking a full-time Administrative Assistant with bilingual Spanish and English communication skills to support daily office operations and construction project administration. This direct hire opportunity is ideal for an organized administrative professional with construction industry experience who enjoys supporting project managers, estimators, field teams, subcontractors, vendors, and clients.

The Administrative Assistant will play an important role in keeping project documentation accurate, organized, and moving on schedule. Key Responsibilities

- Provide administrative support to project managers, estimators, field personnel, and office leadership.
- Manage and organize project documentation, including contracts, submittals, RFIs, change orders, permits, lien releases, insurance certificates, and closeout paperwork.
- Assist with scheduling meetings, inspections, subcontractor coordination, and project-related communications.
- Enter, update, and maintain project information in construction management software and internal systems.
- Process purchase orders, invoices, vendor paperwork, and other project or compliance documentation.
- Communicate professionally with clients, subcontractors, suppliers, and internal teams in both English and Spanish as needed.

Required Qualifications and Skills

- Support construction project administration, document control, and daily office operations.
- Coordinate project paperwork, compliance documents, vendor information, and subcontractor communication.
- Maintain accurate project files and update construction management systems.
- Assist project teams with scheduling, correspondence, invoice support, and general administrative tasks.

- 2+ years of administrative experience, preferably in construction, contracting, engineering, or a related industry.
- Bilingual Spanish and English skills, including written and verbal communication.
- Familiarity with construction processes, terminology, and project documentation.
- Experience using construction software such as Procore, Buildertrend, PlanGrid, Bluebeam, or similar platforms.
- Proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook.
- Strong organizational skills, accuracy, and attention to detail.
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
- Professional communication, customer service, and teamwork skills.
- Motivation to learn, grow, and take on additional responsibilities over time.

Preferred Qualifications

- Experience supporting commercial and/or residential construction projects.
- Knowledge of subcontractor coordination and project compliance documentation.
- Exposure to accounting support functions such as invoice processing, purchase orders, or job costing support.
