POSITION SUMMARY: The Facilities Manager is responsible for the management and oversight of tribally owned buildings and properties located in the Upper Peninsula of Michigan. This position performs a range of managerial duties including but not limited to scheduling, coordinating, and overseeing maintenance, custodial, and operational support services for facilities. The Manager ensures day-to-day facility needs are met, minor repairs and preventative maintenance are addressed, and properties are kept in safe, functional condition. The position also assists with inspections, tenant coordination, and emergency response for buildings in the assigned regions, while supporting compliance with established policies, procedures, and safety standards.
ESSENTIAL FUNCTIONS: (includes, but is not limited to, the following)
· Manage day-to-day operations of tribally owned buildings and properties located in the Upper Peninsula. This includes oversight of maintenance, janitorial, and minor repair activities to ensure facilities remain safe, clean, and functional.
· Coordinate and schedule maintenance and custodial staff within the region, ensuring work is completed in a timely and professional manner. Document and report on task completion and support follow-up where additional work is needed.
· Respond to emergent and non-emergent facility-related issues by performing hands-on skilled work or coordinating with maintenance staff or approved vendors to ensure timely resolution.
· Conduct regular walkthroughs and inspections of assigned properties to assess facility conditions, identify maintenance needs, and ensure compliance with tribal standards and safety protocols.
· Support the implementation of facility policies, procedures, and directives as established by the Director of Facilities and Construction. Provide regional input on facility needs, improvements, and resource utilization to assist with long-term planning.
· Assist with monitoring small-scale renovations, minor construction, and repair projects within the region, providing updates to the Director of Facilities and Construction and communicating progress to local staff and tenants as needed.
· Maintain professional working relationships with tenants, tribal program staff, and service providers to support the operational needs of each building.
· Track and report facility supply and equipment needs for properties; support inventory and procurement efforts in coordination with Facilities staff.
· Provide basic administrative support for operations, including logging work orders, maintaining records of completed maintenance, and supporting local compliance with policies and procedures.
ADDITIONAL RESPONSIBILITIES:
- Support the Facilities Administrator in maintaining facility databases, reports, and records, including work orders, maintenance logs, and inventory tracking.
- Oversee inventory control for assigned facilities, including site-based storage areas and tools. Ensure accurate records and proper usage of assets.
- Coordinate and perform facility turnover tasks for vacant spaces, ensuring timely cleaning, repair, and readiness for future use. May assist with or perform hands-on work as needed.
- Ensure proper preparation for facility tasks, including gathering materials, tools, and safety equipment before initiating work.
- Ensure all assigned work areas are returned to safe, clean, and functional condition following maintenance or repair activity.
- Monitor use and condition of tools, equipment, and vehicles. Ensure staff maintain assets properly and report any damage or loss.
- Assist in processing vendor invoices, preparing purchase requests, and supporting regional procurement under the direction of the Director of Facilities and Construction.
- Coordinate meetings and scheduling in partnership with the Facilities Administrator, including contributing to agendas and follow-up documentation.
- Perform other related duties as assigned in support of facility operations.
CONTACTS: Regularly interacts with local staff, tenants, program managers, vendors, contractors, and Facilities Department personnel. Periodic communication with the Director of Facilities and Operations, tribal departments, and administrative teams is expected.
PHYSICAL REQUIREMENTS: This position involves heavy physical activity, including lifting up to 100 pounds and frequent lifting/carrying of up to 50 pounds. Physical demands include frequent standing, walking, bending, reaching, handling, and visual acuity. Work may involve exposure to weather conditions, heat, cold, humidity, noise, and vibration. Potential hazards include exposure to mechanical parts, electrical systems, cleaning chemicals, and equipment-related risks. Occasional exposure to biologic hazards, heights, or confined spaces may occur.
REQUIREMENTS :
Education: High School Diploma or GED required. Associate of Applied Science (AAS) in Facilities Management or related field required, or three years of demonstrated ability in relevant work experience may be substituted in lieu of degree.
Experience: Minimum of three years of experience in facility operations/management required in addition to above education requirement. Three years combined of supervisory experience in Facilities maintenance management, experience in tribal office settings and general understanding of space cost/cost center-based accounting required. Working knowledge for leasing space to federal grant funded programs preferred.
Certification/License: Trade or Technical School Certificate in refrigeration or construction preferred. Must have a valid driver’s license and be insurable by the Sault Tribe Insurance Department. Annual review of driving record is required. Will be required to undergo and successfully pass a background check. Must comply with the Sault Tribe’s Drug-Free Workplace Policy which may include random drug tests.
KNOWLEDGE, SKILLS, AND ABILITIES: Strong working knowledge of building systems and trades, including plumbing, electrical, carpentry, HVAC, and janitorial services. Ability to read and interpret basic blueprints, maintenance manuals, and construction plans. Familiarity with tribal operational policies, safety procedures, and maintenance best practices. Proficiency with Microsoft Office and basic facility management software; experience with JD Edwards and Kronos systems preferred. Capable of organizing and prioritizing multiple tasks and responding effectively to urgent maintenance issues. Strong interpersonal skills and ability to work well with tenants, staff, contractors, and leadership in a team environment. Ability to remain calm under pressure and resolve issues in a proactive, service-focused manner. Commitment to maintaining confidentiality and professionalism in all work-related matters. Must be willing to serve in an on-call rotation for emergency response, including after-hours, weekends, and holidays as needed. Native American Preferred.
