About the Role

Wolfer’s Home Services has served Oregon since 1915, with roots dating to 1901. We provide residential heating, cooling, plumbing, electrical, and sewer and drain services across the Portland metro area, Salem, and Southwest Washington. We are seeking an experienced, organized, and proactive Fleet Manager to take ownership of fleet readiness, maintenance, safety, compliance, and telematics, while assisting management with facilities upkeep.

This hands-on role supports a high volume of vehicles and drivers in a fast-paced field-service environment where vehicle downtime directly affects our technicians and customers. The ideal candidate is detail-oriented, accountable, and responsive, with the ability to anticipate needs, coordinate repairs, and keep vehicles ready for existing employees and new hires.

Fleet Operations and Maintenance

• Ensure vehicles are available, properly equipped, registered, insured, maintained, and ready for new and existing field employees.
• Manage the daily operations of a high-volume fleet of company vehicles, including service vans, trucks, and other company-owned vehicles.
• Develop and maintain a comprehensive preventive maintenance program based on mileage, vehicle usage, manufacturer recommendations, and operational needs.
• Coordinate vehicle repairs and maintenance while minimizing technician downtime and disruption to customer service.
• Track vehicle availability, downtime, maintenance history, repair frequency, mileage, and overall fleet utilization.
• Manage relationships with dealerships, repair facilities, maintenance providers, towing companies, fuel providers, rental companies, and other fleet vendors.
• Review vendor pricing and repair recommendations to identify cost-saving opportunities without compromising vehicle reliability or safety.
• Monitor fuel usage, excessive idling, mileage, vehicle utilization, and other fleet expenses.

Fleet Systems and Planning 

• Manage fleet management and telematics systems, with full responsibility for coordinating installation, activation, maintenance, and ongoing performance. Work with vendors and internal teams to ensure successful deployment, providing hands-on installation or troubleshooting support as appropriate. Use these systems to monitor vehicle location, driver behavior, mileage, maintenance needs, and fleet performance.
• Establish and monitor fleet KPIs including cost per vehicle, cost per mile, downtime, preventive maintenance compliance, fuel consumption, accident frequency, repair costs, and vehicle utilization.
• Develop vehicle replacement recommendations based on age, mileage, maintenance history, reliability, operational requirements, and total cost of ownership.
• Coordinate vehicle purchasing, onboarding, upfitting, branding, assignment, reassignment, and retirement/disposal.
• Maintain accurate vehicle documentation, including registrations, insurance records, maintenance records, inspections, assignments, and related fleet documentation.
• Work closely with Operations and leadership to forecast vehicle needs based on hiring and company growth.
• Manage vehicle assignments during onboarding and ensure new field employees have properly prepared vehicles when they enter the field.

Safety and Compliance

• Conduct regular fleet inspections to ensure vehicles meet company cleanliness, organization, equipment, and safety standards.
• Hold employees accountable for vehicle condition, safe driving practices, required inspections, and company fleet policies.
• Review accidents, incidents, driver safety trends, and vehicle damage and recommend corrective action when necessary.
• Partner with HR and leadership to develop and deliver safety training and reinforce company safety expectations.
• Conduct safety audits and lead safety meetings and initiatives to strengthen safe driving practices and workplace safety.
• Maintain accurate records related to incidents, accidents, inspections, and corrective actions.
• Identify trends within accident reports, driver behavior, vehicle damage, and safety metrics to reduce future risk.
• Support compliance with applicable DOT, OSHA, state, local, insurance, and company safety requirements, as applicable to the fleet.

Facilities and Operational Support

• Respond to urgent vehicle issues and after-hours fleet emergencies by phone when necessary.
• Assist management as needed with the maintenance and upkeep of company facilities, including coordinating repairs, service providers, and routine upkeep.
• Other duties as assigned.

Schedule and Compensation

Full-time, on-site schedule, Monday through Friday. Availability by phone is required for urgent vehicle or fleet situations after hours. $70,000–$85,000 total compensation annually, depending on experience.
