Administrative Technician (Support Services)

: Position Summary Works under general supervision and processes a variety of documents and forms such as purchase orders, requisitions, check requests, invoices, and other specialized fiscal forms. Performs data entry and maintains specialized computer databases, spreadsheets and similar reports to obtain, verify, update and report accounts payable and/or receivable information, disbursements, journal entries and vendor information. Pay Grade: 43 Salary Commensurate with Experience and Education Minimum Qualifications 100.00% - 1. Three (3) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; AND 2. High school diploma or possess a GED; OR 3. Two (2) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; and one (1) year of college study (30 semester hours or 36 quarters) from an accredited college or university. 4. PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED. Duties and Responsibilities 1. Prepares invoices and other accounts payable documents for payment for goods and services provided; enters data into excel spreadsheets and/or other programs; produces reports and other documents related to accounting as needed. 2. Prepares and maintains documents and forms and checks records for accuracy, completeness, timeliness and compliance with County policies and procedures. 3. Tracks accounting data and operating expenditures and reconciles to records on a scheduled basis. 4. Creates, performs data entry and maintains specialized computer databases and spreadsheets to obtain, verify and update information such as excel spreadsheets, accounts payable and/or receivable information and disbursements, journal entries, purchase orders, vendor information and other. 5. Balances and reconciles department records with accounting system when required, reviews financial reports to identify and trace sources of error; researches irregularities and reports to supervisor; and makes adjustments and necessary corrections as directed. 6. Contacts various vendors and departments to resolve discrepancies or problems; answers inquires and resolves problems or discrepancies 7. Identifies unusual situations that require referral to supervisors or higher management personnel. 8. Performs a variety of general clerical duties; which includes maintaining filing systems; composes/types correspondence, copies, compiles, distributes and files paperwork and records and pulls files and records as needed. 9. Performs other related duties as required or directed. KSA's KSA's - 1. Thorough knowledge of Shelby County accounting processes and procedures, especially in the accounts payable and purchasing areas. 2. General knowledge of computer systems and applications. 3. Ability to learn the County"s systems and use them for the department"s benefit. 4. Ability to perform a variety of accounts payable duties with minimal supervision. 5. Ability to identify and resolve problems in a timely manner. 6. Ability to maintain confidentiality. 7. Ability to have strong interpersonal skills. 8. Ability to edit work for spelling and grammar, present numerical data effectively and read and interpret written communications. 9. Ability to easily adapt to frequent changes, delays, or unexpected events in the work environment and manage competing demands. 10. Ability to follow instructions, effectively respond to management direction and solicit feedback. Special Requirements 1. Must be proficient with Microsoft Office, particularly Word, Excel and Outlook at the intermediate level.
