Supervisor of Events and Auxilary Services

The Supervisor of Events and Auxiliary Services is responsible for planning, coordinating, and overseeing campus events, auxiliary services, and related operational activities. This position ensures that facilities, equipment, staffing, and support services are effectively coordinated to provide high-quality experiences for students, employees, guests, and community partners. The Supervisor works collaboratively across departments to ensure events and auxiliary operations are safe, efficient, financially responsible, and aligned with the College's mission and strategic priorities. The Supervisor of Events and Auxiliary Services is also responsible for the supervision of duplication and mail/package receiving and distribution operations as well as providing administrative support for the Facilities Department.

ESSENTIAL JOB FUNCTIONS:

• Plan, coordinate, and supervise the logistical requirements for college-sponsored events, meetings, conferences, ceremonies, and external rentals.
• Coordinate event setup and breakdown, including furniture, equipment, technology, signage, and other support services.
• Develop and maintain event schedules, work orders, setup diagrams, and staffing plans.
• Serve as a primary point of contact for space reservations, event organizers, and campus departments.
• Conduct pre-event planning meetings and site walkthroughs as needed.
• Ensure event spaces are properly prepared, maintained, and restored following events.
• Monitor events to address operational issues and ensure a positive guest experience.
• Supervise assigned auxiliary services and support operations, which may include campus rentals, campus space reservations, vending, catering coordination, parking, summer programs, and other revenue-generating services.
• Supervise assigned full-time, part-time, temporary, and student employees.
• Develops policies, procedures, pricing structures, and service standards for auxiliary operations.
• Monitor service delivery and identify opportunities to improve efficiency, customer service, and revenue generation.
• Maintain accurate records related to facility usage, rentals, services, invoices, and operational expenses
• Performs or schedules all maintenance and preventive maintenance on setup related equipment.
• Provides oversight of mail/package receiving and distribution as well as duplication departments including coordination, direct supervision, budgeting, policy and process review.
• Serves as the fill-in operator for mail/package receiving and distribution as needed.
• Provides administration support including entering work orders, vendor invoice collection/reconciliation, processing requisitions, scheduling, and record-keeping.
• Assists with vendor/contractor management to include document submittals/retrievals (COI and W-9), scheduling, and necessary follow-up communications.
• Ensure compliance with all local, state, and federal safety and environmental regulations.
• Ensure compliance with all College rules and policies.
• Other duties as assigned.

MINIMUM REQUIREMENTS TO PERFORM WORK:

Education: Associate degree required. Will consider applicants who are in the process of obtaining an associate degree and/or individual must commit to completing an associate degree program from an accredited institution within 1 year of start date.

Experience: 3-year supervisory experience. Three years’ experience in event planning. One-year general maintenance experience is preferred. Skills/Training: Ability to work well with others throughout the campus community. Professional oral and written communications skills.

Proficiencies: Technical proficiency in computer software, and knowledge of general computer set-up. Event planning knowledge including floor planning, caterer contracting, linen rental, and event billing. Sound decision making ability. Also requires a high level of interpersonal skill and client knowledge to assist in the decision-making process for the various setups. Requires the ability to work under pressure in front of large groups.

Scheduling Requirements: Must be available to work flexible schedule including evenings and weekends (for multiple events/set ups) as needed.

Physical Demands:

Must be able to lift and move up to a maximum of 75-100 lbs. on a regular basis. Must be able to pull/push “rolling” carts/dollies weighing up to 375-400 lbs. occasionally. The physical activity of this position includes, but is not limited to: climbing, walking, stooping, kneeling, crouching, reaching, standing, pulling, lifting, grasping, twisting and sitting.

Other Requirements:

Valid Driver’s License with satisfactory driving record. The worker will be subject to dust, noise, fumes, and odors. The worker will be exposed to inside and outside environmental conditions. Safety equipment will be provided where needed and required to be worn or used.

Work Environment:

The worker will be exposed to inside and outside environmental conditions. Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office or meeting and training rooms, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, and observance of fire and building safety regulations, and traffic signals when driving.

Due to the need of interaction with students, employees, and the college community this position requires in-person presence. This position is eligible for telework.

Salary: This is a non-exempt (hourly), overtime eligible position; Grade 110 (pay scale:$21.96-35.14/hr). The hourly rate for the position based on budget is $25.00-27.50/hr. Applicants initial salary placement is based on internal equity and relevant candidate experience.
