Human Resources Coordinator

The Human Resources Coordinator is responsible for managing employee leave processes, responding to inquiries, and maintaining accurate records within the Human Resources department. This role involves handling telephone communications, assisting employees and visitors, processing verification of employment, and ensuring compliance with leave documentation and benefits payments. The coordinator supports managers with leave-related guidance and prepares various reports and correspondence to facilitate smooth HR operations. Responsibilities:

• Respond to all incoming telephone calls to the HR department, screen calls, and direct to appropriate personnel.
• Assist individuals and employees visiting the department by addressing questions or referring them as needed.
• Complete and submit verification of employment documentation within established timeframes.
• Respond to employee requests for leave of absence information and explain available leave types.
• Determine leave eligibility and communicate status of initial, extension, and recertification requests in writing to employees.
• Ensure timely return, review, and accuracy of certification and leave request documents; assist employees with form completion.
• Inform managers about employee leave approvals, extensions, or recertifications and provide guidance on Combined Time Off usage.
• Create and maintain employee leave files and summary reports on active or intermittent leaves.
• Track and collect employee payments for benefits during leave; recommend benefit cancellations due to non-payment.
• Complete State Disability and Short/Long Term Disability claim forms as needed.
• Maintain adequate supplies of brochures and informational packets related to leaves of absence.
• Prepare and maintain accurate bi-weekly, semi-monthly, and monthly HR reports.
• Draft clear and error-free employment-related correspondence.
• Manage time effectively, prioritize tasks, and maintain professionalism by avoiding non-work-related activities.
• Communicate any issues compromising integrity, confidentiality, or safety to the Director of Human Resources.

• Proficiency in preparing reports and employment-related correspondence.
• Experience with employee leave administration and benefits coordination.
• High level of confidentiality and professionalism.

• Experience working in a healthcare or large organizational Human Resources setting.
• Familiarity with state disability and leave of absence laws and processes.
• Knowledge of HR information systems and data management.

• Work requires handling confidential employee information with discretion.
• Must maintain integrity and confidentiality in all communications and documentation.
• Position operates within standard office environment with no specified on-call or shift work.

• Monday through Friday, 8:00 a.m. to 4:30 p.m., with a 30-minute lunch break.
