The Sales Support Coordinator provides day-to-day administrative, customer service, sales, and marketing support to the Sales & Marketing Operations Manager.

This position plays an important role in keeping wholesale operations organized and moving efficiently by assisting with customer communication, order follow-up, account maintenance, wholesale platforms, reporting, sales outreach, and marketing projects.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple priorities. This person should be able to take ownership of routine tasks and follow-up while communicating effectively with customers and internal team members.

Key Responsibilities

Customer Service Support

• Assist with monitoring and responding to customer emails and inquiries.
• Monitor and respond to routine messages received through Hello@, Info@ and other platforms.
• Assist customers with order status, tracking information, product availability, and general questions.
• Help coordinate resolution of missing, damaged, incorrect, or delayed orders.
• Route fulfillment, shipping, billing, or other specialized issues to the appropriate team member when necessary.
• Follow up with customers to ensure outstanding questions and issues are resolved.
• Maintain accurate records of customer service issues and resolutions.

Order & Account Support

• Assist with entering and reviewing wholesale and DTC orders.
• Monitor orders for missing or incomplete information.
• Assist with order follow-up and tracking.
• Maintain accurate customer contact, billing, shipping, and account information.
• Assist with new account setup and onboarding.
• Gather information and documentation needed for new account setup.
• Coordinate internally when additional information is required to process an order or establish an account.

Sales Support

• Prepare customer and prospect lists for sales outreach.
• Assist with identifying customers who have not reordered within specified time periods.
• Maintain prospect, lead, and customer information.
• Assist with customer reactivation and retention campaigns.
• Support follow-up with prospective and existing wholesale customers.
• Assist with sample-box and catalog outreach programs.
• Track outreach activity and customer responses.
• Help prepare information and materials needed for sales initiatives.

Reporting & Data Support

• Maintain spreadsheets, trackers, and reports used by the Wholesale department.
• Assist with customer purchasing and reorder reports.
• Update prospecting and customer outreach spreadsheets.
• Help track promotional activity and results.
• Assist with gathering data for sales and marketing analysis.
• Maintain accurate and organized records to support department reporting and decision-making.

Marketing & Project Support

• Assist with wholesale marketing projects and seasonal initiatives.
• Help coordinate catalogs, samples, inserts, sales materials, and other marketing collateral.
• Assist with gathering product information, images, copy, and other assets needed for projects.
• Maintain project trackers, calendars, and deadlines.
• Assist with customer surveys, promotional campaigns, and outreach initiatives.
• Support catalog development and seasonal product launches as needed.
• Provide follow-up and administrative support to keep projects moving forward.

General Administrative Support

• Assist the Sales & Marketing Operations Manager with scheduling, organization, follow-up, research, data entry, and project coordination.
• Maintain organized electronic files, spreadsheets, customer information, and department resources.
• Help track deadlines and outstanding action items.
• Communicate with internal departments to gather information and facilitate follow-up.
• Assist with special projects as assigned.
• Provide additional administrative, customer service, sales, marketing, and operational support as needed.
• Perform other duties and responsibilities as deemed necessary to support the Sales & Marketing Operations Manager and overall needs of the business.

Qualifications

• Previous experience in administrative support, customer service, sales support, marketing support, or a related role preferred.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to manage multiple priorities and follow tasks through to completion.
• Comfortable communicating professionally with customers.
• Proficiency with email, spreadsheets, and general business software.
• Experience with Faire, Shopify, CRM systems, order-management systems, or wholesale platforms is a plus.
• Ability and willingness to learn new systems and processes.
• Ability to work independently while knowing when to ask questions or escalate an issue.
• Positive, collaborative, and solution-oriented approach.
