Secretary And Bookkeeper

South Hills Middle School is seeking a dedicated and organized individual to join our team as a full-time secretary and bookkeeper. This role is essential for maintaining the smooth operation of the school office and managing financial records. The ideal candidate will possess strong administrative skills, attention to detail, and a commitment to supporting the educational environment.

Responsibilities:

• Serve as the first point of contact for students, parents, and staff, providing excellent customer service and addressing inquiries professionally.
• Manage and maintain accurate financial records, including student fees, budget tracking, and payroll processing.
• Assist in the preparation of financial reports and audits, ensuring compliance with district policies and procedures.
• Coordinate and maintain school schedules, including meetings, events, and appointments for faculty and administration.
• Process incoming and outgoing correspondence, including phone calls, emails, and mail, ensuring timely communication.
• Maintain student records and files, ensuring confidentiality and compliance with legal requirements.
• Support the principal and other administrative staff with various tasks, including data entry, filing, and office organization.
• Assist with inventory management, ordering supplies, and maintaining office equipment.
• Participate in school events and activities, providing logistical support as needed.
• Stay informed about school policies and procedures, ensuring accurate dissemination of information to stakeholders.

Requirements:

• High school diploma or equivalent; additional education or training in office administration, bookkeeping, or a related field is preferred.
• Previous experience in a school environment or administrative role is highly desirable.
• Proficient in bookkeeping and accounting software, as well as Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Excellent verbal and written communication skills.
• Attention to detail and a commitment to maintaining confidentiality.
• Ability to work collaboratively with diverse groups of people, including students, parents, and staff.
• Familiarity with school policies and regulations is a plus.
• Ability to adapt to changing priorities and work in a fast-paced environment.

This is an "at will" position that the employer or employee may terminate employment at any time for any reason consistent with applicable state or federal law.
