Specialist, Global Exhibits Advisor

Role Overview The Global Exhibits Advisor/Specialist partners with the Global Exhibits team to design, manage, and deliver U.S. Human Health exhibit programs, primarily for mature brands. The position requires deep subject‑matter expertise in pharmaceutical exhibiting, especially within 10x10 and in‑line exhibit spaces, to ensure optimal customer service, operational efficiency, and congress strategy execution. Key Responsibilities Exhibit Strategy & Execution: Partner with internal stakeholders to deliver strategic and executional exhibit solutions, support the design, execution, and management of U.S. Human Health exhibit programs, and ensure congress strategy is effectively realized through exhibit planning and delivery. Cross‑Functional Collaboration: Liaise with medical teams and congress associations to maximize medical and promotional opportunities, lead or assist in cross‑functional planning meetings leading up to events, and partner with internal clients during profit‑planning sessions to provide feedback and recommendations on programs and exhibits. Compliance & Industry Expertise: Develop expertise in promotional exhibits, lead or support pre‑conference compliance sessions, stay current with industry guidelines (EFPIA, ICCA, IAEE, PhRMA, Sunshine Act), and apply evolving industry standards to corporate policies and exhibit practices. Mentoring & Reporting: Mentor new marketing and promotional partners on exhibit delivery processes and assist in developing periodic reports and presentations on exhibit activity, spend, and savings. Budget Management: Assist in managing multi‑million‑dollar marketing exhibit budgets, support monthly forecasting and reconciliations, and ensure financial tracking and accountability for exhibit programs. Qualifications High School Diploma/GED required; bachelor’s degree preferred. Minimum 4 years of experience in exhibit/program management within the pharmaceutical or healthcare industry (with a degree) or 7+ years without a degree. In‑depth knowledge of current industry guidelines, trends, exhibit structures, and types. Strong financial skills and experience managing multi‑million‑dollar budgets. Proficiency with SAP and Veeva PromoMats. Ability to work in a fast‑paced, cross‑functional environment. Strong verbal and written communication, problem‑solving, planning, and organizational skills. Excellent time‑management and ability to manage multiple stakeholders and projects effectively. Computer proficiency with Windows‑based software and a self‑motivated, hands‑on work style. Willingness to travel up to 20% annually and to work evenings and weekends as required. Preferred Qualifications Bachelor’s Degree. Experience with healthcare or pharmaceutical industry compliance requirements (PhRMA Guidelines, Sunshine Act, ICCA, IAEE, EFPIA). Creative thinking and problem‑solving skills. Master of Science in Regulatory Affairs (MSRA) or related advanced certification preferred.
