Program Assistant

The primary responsibility of the Program Assistant is to support the overall operation of the Office for the Associate Vice President of Information Systems.

Qualifications:

• High school diploma or equivalent

Responsibilities:

• Enter and submit requisitions for the Information Systems, Network Services, Audio Visual, Desktop Computing, and Performing Arts Center Departments.
• Prepare action exhibits as needed for submittal to the VP of Business Services for the Board of Trustees monthly meetings.
• Manage department budget spreadsheet.
• Develop budget forecasts and monitor expenditures to ensure spending stays within approved limits.
• Work with vendors to obtain quotes and resolve billing concerns.
• Manage department's yearly maintenance and lease agreements.
• Oversee maintenance of office equipment and orders office supplies.
• Perform duties using database management applications, and other computer systems.
• Process faculty evaluations through an evaluation application.
• Maintain calendar, schedule appointments/meetings for department and Associate Vice President.
• Set up interviews and Zoom calls for job openings.
• Assist in preparing work area for new staff.
• Coordinate special projects as directed by the Associate Vice President.
• Provide administrative support for the Associate Vice President.
• Primarily works in Microsoft Word, Excel and Outlook.
• Other duties as assigned
