The Events Coordinator supports the planning, coordination, and implementation of campus events, leads facility services, and collaborates with campus partners to provide high-quality services and experiences for students, faculty, staff, community partners, and guests. Working under general supervision, the Coordinator provides professional support for event planning and facility operations, ensures event planners are warmly assisted, and facilitates compliance with UMN policies and procedures. This full‑time civil service position (SS Pro1-Student Engage & Dev / 8461ED) reports to the Senior Coordinator of Student Engagement & Events. The position includes some night and weekend work with flex scheduling. The Events Coordinator supports the planning, coordination, and implementation of campus events, leads facility services, and collaborates with campus partners to provide high-quality services and experiences for students, faculty, staff, community partners, and guests. Working under general supervision, the Coordinator provides professional support for event planning and facility operations, ensures event planners are warmly assisted, and facilitates compliance with UMN policies and procedures. This full‑time civil service position (SS Pro1-Student Engage & Dev / 8461ED) reports to the Senior Coordinator of Student Engagement & Events. The position includes some night and weekend work with flex scheduling. This is a short-term position and the duration will be through June 2027. Work Environment This is an in‑person position working on the University of Minnesota - Morris campus. Schedule Monday-Friday with some night and weekend work with flex scheduling. 40 hours per week Please note, this position is not eligible for H-1B or Green Card sponsorship. This position does not offer a STEM OPT training program. Essential Functions Manage and support campus event planning and implementation. Work with the Student Engagement & Events team, student leaders, campus offices and programs, and community partners to ensure mutual support, collaboration, and success in planning and executing high-quality campus events. (50%) Support student leaders, campus offices, and programs in planning and implementing student fee-, institutional-, grant-, and foundation-funded campus events and activities. Work within established procedures to support consistent event planning and delivery across campus. Assist in managing campus event planning systems. Serve as campus manager of 25Live scheduling system overseeing non-academic use of campus facilities, working with Registrar’s Office, which oversees academic space use. Ensure events are recorded appropriately. Share timely setups documentation with campus stakeholders to ensure successful event production. Coordinate weekly production meetings with Facilities Management staff and event planners to manage spaces, event set up, and successful event production (collaborating with a team of up to 14 staff from Facilities Management and Dining Services). Assist in managing the Audience View Ticketing system coordinated with the UMN Twin Cities Office of Tickets and Events. Assist with ticketing production, distribution at campus events, and reconciliations. Support event planners in event promotion through the Campus Events Calendar via Campus Connections or individual submissions to Communications and Marketing. Supervise Student Building and Event Manager staff – 4-6 paraprofessional student staff who oversee Student Center and event support across the campus during night and weekend hours. Coordinate scheduling, training, work assignments, and day-to-day work, consistent with campus policies. Assist with the day-to-day operation of the LaFave House to support University events and guest accommodations, hosting high-touch campus events and housing high-profile campus visitors. Support planning and implementation of major University events (e.g., Admissions Visit Days, New Student Orientation, Welcome Week, Homecoming, Family Weekend, Celebration of Scholarly Accomplishments, named lectures, Undergraduate Research Symposium, Faculty-Staff Recognition Dinner, Honors & Awards, Commencement.) Provide event coordination and operational support to ensure successful program delivery. (40%) Assist in the presentation of all-campus events, coordinating logistical and operational support to present a consistent signature appearance and high-quality program delivery. Provide event coordinators with planning and implementation guidance, support, and assistance. Facilitate the inclusion of branded UMN Morris visual pull-up banners, MORRIS letters, table skirts, and electronic campus messaging in event presentation. Assist in coordinating event operations to enhance the participant / campus visitor experience Ensure the provision of welcoming event and directional signage. Ensure presenters and special guests are warmly welcomed and supported during their visits and presentations. Provide support with sensitivity to individuals’ and programs’ varied and specific needs. Anticipate and respond to the needs of participants from varied backgrounds, cultures, and abilities. Work with event planners, the SEE team, Communications and Marketing, and Institutional Technology to extend the reach of key events beyond the campus, engaging prospective students, alumni, families, and friends via live streaming, interactive technology, and social media. Support the use of campus facilities by community partners and external groups. (10%) Assist campus and community leaders with planning and implementing camps, conferences, and events. Support planning teams, space reservations and set up plans, facility presentation, routine operational needs, and timely and accurate reporting and billing processes. Guide day-of-event support. Welcome event planners. Anticipate and respond to planner and participant needs. Ensure facility readiness, welcoming event and directional signage, and UMN Morris visuals. Assume other duties as needed or assigned to advance the work of Student Engagement & Events, Student Affairs, and the University. Qualifications Essential knowledge, skills, and abilities: Bachelor’s degree or a combination of relevant education and work experience to equal at least four years Demonstrated experience in student activities, student engagement, or event planning/delivery The ability to effectively work with and welcome people from varied cultures and backgrounds Ability to work both independently and collaboratively Capacity to use technology effectively and creatively to accomplish responsibilities Strong interpersonal, organizational, and conflict management skills Excellent oral and written communication skills Preferred Knowledge, Skills, And Abilities Experience with student supervision, leading collaborative teams, and program oversight Knowledge of risk management, experiential learning, and assessment techniques Experience working with 25Live or comparable room scheduling software Demonstrated ability to understand, interpret, apply, and communicate policies, procedures, and guidelines Pay And Benefits Pay Ran ge: $44,200-$48,500; depending on education/qualifications/experience Time Appointment: 100% App ointment Position Type: Civil-Service & Non-Faculty Labor Represented Staff Please visit the Office of Human Resources website for more information regarding benefit eligibility.
