Position Summary: The Medical Call Center Representative serves as the first point of contact for patients and families, providing exceptional customer service while handling a high volume of inbound and outbound calls. This position is responsible for scheduling appointments, routing calls, documenting patient requests, and ensuring accurate communication between patients, providers, and clinical staff. Education and Training High School Diploma or GED Experience Two years of experience working at the front desk of a medical front office, medical administrative support or similar role. Experience with appointment scheduling. Skills Working knowledge of: Insurance verification and basic billing procedures. Data entry and database management. Office equipment, including scanners, fax machines, and copiers. Understanding of: Customer service best practice in a healthcare setting Principal Duties and Responsibilities Answer telephone calls, provide information, screen and route telephone calls to the appropriate person or department. Coordinate communication with referring physicians and health-care facilities. Verify patient insurance eligibility and benefits and obtain required authorizations prior to patient visits. Perform the patient check-out process that includes: Scheduling follow-up appointments and diagnostic tests ordered during the visit. Remind the patient of the importance to keep follow-up appointments and to complete ordered diagnostic tests. Collect payments, including co-payments, deductibles, co-insurance, and any outstanding balance amounts for any additional services that were rendered. Surgery Scheduling Schedule surgical procedures, pre-operative appointments, and post-operative follow-ups. Coordinate operating room availability with hospitals and surgery centers. Communicate surgery dates, preparation instructions, and arrival times to patients. Obtain and verify insurance authorizations and referrals prior to surgery. Ensure all required documentation, consents, laboratory results, and medical clearances are completed before the procedure date. Maintain accurate patient records and update scheduling information in the electronic medical record (EMR) system. Confirm patient demographics, insurance coverage, and contact information. Collaborate with physicians, clinical staff, anesthesia teams, and hospital personnel regarding scheduling needs or changes. Reschedule procedures as necessary and notify all involved parties promptly. Answer patient questions regarding surgical preparation, insurance requirements, and appointment details. Perform administrative and general office functions, including but not limited to copying, filing, faxing, and data entry.
