Warehouse Operations Supervisor

Company: Vista Fulfillment Group Location: 10223 Prospect Avenue, Santee, CA 92071 Work Arrangement: On-site Schedule: Monday through Friday Employment Type: Full-time, hourly, non-exempt Compensation: $30.00–$45.00 per hour, depending on qualifications and experience Reports To: Warehouse Manager About the Role Vista Fulfillment Group is seeking an experienced, tech-savvy Warehouse Operations Supervisor to oversee approximately 15 warehouse employees and ensure daily work is completed safely, accurately, and on time. You will assign work, monitor progress, manage priorities, coach employees, and remove the obstacles that prevent the team from meeting its targets. This includes ensuring employees have functioning equipment, clear instructions, and the support they need throughout the day. Technology is part of every department in our warehouse. Our teams use digital workflows to confirm orders, receive inventory, pick and pack shipments, manifest pallets, and coordinate freight shipping. You must be comfortable managing people and work through these systems, investigating problems, and using data to make decisions. We operate proprietary order and warehouse management software supported by our development team. When a workflow needs improvement, you will help explain the operational need, recommend practical changes, and work with developers to put those improvements into use. Primary Responsibilities Staff Supervision and Daily Execution Direct the daily work of approximately 15 warehouse employees across receiving, put-away, inventory, replenishment, picking, packing, and shipping. Assign responsibilities, communicate priorities, and ensure employees understand what needs to be completed and by when. Monitor progress against daily targets, shipping deadlines, accuracy standards, and workload priorities. Adjust assignments and staffing as order volume, freight schedules, absences, and backlogs change. Maintain an active floor presence, identify obstacles, and resolve issues before they create larger delays. Train and coach employees, address performance issues, and follow through on accountability. Work alongside the team when needed while maintaining oversight of the operation. Keep the Warehouse Manager informed of results, staffing needs, delays, and issues requiring attention. Digital Workflows and Warehouse Systems Learn and confidently use our warehouse management system (WMS), order management system (OMS), and related operational software. Ensure employees correctly complete required digital steps, including scans, confirmations, inventory movements, packing records, pallet manifests, and shipping updates. Monitor system activity alongside physical warehouse activity to identify incomplete work, missed steps, and discrepancies. Investigate stalled orders, scanning errors, inventory mismatches, and other workflow interruptions. Identify whether an issue stems from employee training, equipment, data, software, or the process itself. Improve procedures and workflows to reduce unnecessary steps, prevent recurring errors, and make work easier to execute consistently. Work directly with developers when software changes are needed, providing clear examples and explaining the expected operational outcome. Help test relevant changes and train employees on updated workflows. Equipment Readiness and Troubleshooting Ensure employees and workstations have the printers, scanners, tablets, computers, and Wi‑Fi connectivity needed to complete their work. Coordinate equipment deployment, setup, replacement, and availability across warehouse departments. Maintain visibility into assigned devices, equipment condition, and spare equipment needs. Troubleshoot routine hardware and connectivity issues, including label printers, print queues, scanners, tablets, and workstations. Help connect or reconnect devices, resolve common printing problems, and move employees to backup equipment when necessary. Perform basic network checks and follow established procedures for restarting equipment or restoring connectivity. Escalate issues requiring technical support with clear details about the problem and steps already taken. Follow through until employees can resume their work. Reporting, Excel, and Performance Monitoring Use Excel and system reports to analyze orders, inventory, backlogs, productivity, and operational exceptions. Confidently work with large spreadsheets using PivotTables, IF statements, VLOOKUP or XLOOKUP, sorting, and filtering . Compare data across reports, identify discrepancies, and turn findings into specific actions for the team. Monitor workload completion, order aging, inventory accuracy, and other operational targets with the Warehouse Manager. Help define useful dashboards and alerts so supervisors can quickly see where work is falling behind or requires intervention. Lead operational improvement projects with clear owners, deadlines, and follow-through. Inventory, Safety, and Organization Oversee cycle counts, bin accuracy, replenishment, and investigation of inventory discrepancies. Ensure physical inventory movements are accurately reflected in the system. Maintain clean, organized work areas and enforce safe operating procedures. Verify equipment checks and promptly address maintenance and safety concerns. Operate forklifts, pallet jacks, and other warehouse equipment as needed. Minimum Required Qualifications — Applicants who do not meet all requirements below will not be considered. At least four years of experience directly supervising employees (10+ staff) in warehouse, fulfillment, distribution, or logistics operations. Demonstrated responsibility for assigning work, managing performance, training staff, and meeting operational targets. Strong working knowledge of receiving, inventory control, replenishment, picking, packing, and shipping. Strong practical technology skills , including confidence learning unfamiliar software and troubleshooting common hardware and connectivity issues. Experience using WMS, OMS, ERP, or similar systems to manage daily operations, track work, and investigate exceptions. Proficiency in Excel, including PivotTables, IF statements, VLOOKUP or XLOOKUP, and working with large datasets. Experience improving procedures and managing operational projects through completion. Ability to prioritize quickly, solve problems independently, and recognize when an issue needs escalation. Clear, respectful communication with warehouse employees, management, and technical teams. Experience operating forklifts and pallet jacks, with the ability to complete required workplace training and certification. Ability to work on-site and perform hands‑on warehouse duties as needed. Bachelor’s degree in Supply Chain Management, Logistics, Operations Management, Business Administration, Industrial Engineering, Information Systems, or a closely related field is required. Candidates should be prepared to demonstrate their Excel skills and explain how they would handle common warehouse leadership, workflow, and equipment problems during the interview process. Preferred Qualifications Experience supervising a warehouse team of approximately 15 or more employees. Experience in e‑commerce fulfillment, pallet manifesting, and freight shipping. Experience working with developers or IT teams to resolve operational problems or improve workflows. Experience setting up or supporting shared printers, scanners, tablets, and shipping workstations. Experience in beverage alcohol fulfillment or other regulated logistics environments. What Success Looks Like Employees know their assignments, have working equipment, and receive timely support. Daily production targets and shipping deadlines are consistently met. Warehouse activity is accurately recorded in our systems. Staffing, equipment, and workflow issues are identified and addressed quickly. Reports and dashboards guide priorities and help prevent growing backlogs. Recurring problems result in practical improvements to procedures, training, or software. The Warehouse Manager has clear visibility into performance and can rely on you to manage daily execution. Physical Requirements Ability to stand and walk throughout the majority of the shift. Ability to bend, reach, push, pull, and perform repetitive warehouse tasks. Ability to safely lift and move products weighing up to 50 pounds, with or without reasonable accommodation. Ability to work around warehouse equipment, loading areas, pallets, and moving inventory.
