Patient Services Coordinator II

Overview US Oncology Network is looking for a Patient Services Coordinator to join our team at Texas Oncology , a full‑time position supporting the Oncology/TBS Department at the 1631 Lancaster Drive clinic in Grapevine, Texas. Typical work week is Monday through Friday, 8:00 a.m. – 4:30 p.m. Responsibilities Greets patients and visitors in a prompt, courteous, and professional manner; checks in patients and informs clinical staff of patient arrival. Provides and explains paperwork for the patient to complete prior to examination, collects and files patient forms, updates demographics and insurance information in the system, and collects co‑pays and balances; provides receipt. Answers, screens, and responds to routine questions, routes calls to appropriate personnel, or takes thorough messages; pages clinic personnel as appropriate; communicates messages accurately and timely according to procedures. Checks patients out after examination; schedules returning appointments according to physician and office guidelines; provides patients with appointment details such as time, location, directions, and instruction sheets. Records patient cancellations and missed appointments, reschedules appointments, notifies appropriate staff, and makes notes in the patient chart. Provides general administrative support by filing charts and forms; maintains lobby area in a neat and orderly manner; maintains an adequate supply of forms and office supplies required for daily activities. Adheres to confidentiality, state, federal, and HIPAA laws and guidelines regarding patient records. Performs other duties as requested or assigned, including typing memos and forms; duties limited to no more than five high level responsibilities. Qualifications Level1 High school diploma or equivalent required. Some receptionist or office experience preferred. Proficiency with computer systems and Microsoft Outlook, Word, and Excel required. Must successfully complete required e‑learning courses within 90 days of occupation. Level2(including Level1 requirements) At least eighteen (18) months front‑line medical office receptionist experience with insurance forms and scheduling software required. Knowledge of practice personnel, daily routines, and scheduling a plus. LevelSr(including Level1 and 2 requirements) At least five (5) years front‑line medical office receptionist experience with insurance forms and scheduling software required. Physical Demands Employee must regularly sit, use hands to finger, handle, or feel; occasionally stand, walk, reach with hands and arms; occasionally lift or move up to 30 pounds; requires vision and hearing corrected to normal ranges.
