This unique role combines front office coordination, patient experience, administrative support, and hands‑on Medical Assistant responsibilities. The ideal candidate will be highly organized, professional, comfortable working with a sophisticated clientele, and able to confidently move between administrative and clinical responsibilities throughout the day. Position Overview As a Front Office Coordinator, you'll serve as one of the primary points of contact for patients, managing everything from check‑in and registration to phone communication, scheduling, and checkout. You'll also provide clinical support as a CMA/CCMA , assisting with patient intake and basic clinical duties as needed. This is a 24/7 clinical location , so scheduling needs may vary. Employees will work four 8‑hour shifts per week (32 hours total) and must be available for scheduling between 7:00 AM and 11:00 PM . Schedules are provided approximately one month in advance . Responsibilities Patient Experience & Front Office Coordination Greet patients warmly and professionally while providing a high-quality, personalized experience from check‑in through checkout. Manage patient registration, scheduling, demographic updates, and documentation within the EMR. Handle incoming calls and patient inquiries, including routing calls and facilitating warm transfers to clinical providers when appropriate. Manage patient communications through phone, email, and text‑based task queues. Answer the medical hotline and appropriately escalat Enter membership leads and patient demographics into Salesforce. Maintain accurate patient accounts and ensure required documentation is completed. Provide professional, clear, and polished communication with patients, providers, and internal teams. Medical Assistant Support Assist with patient intake by obtaining and documenting vital signs, medical history, and other pertinent health information. Prepare patients and exam rooms for provider visits and assist with maintaining efficient patient flow. Perform basic clinical support duties within the CMA/CCMA scope of practice, including specimen collection, EKGs, or other routine clinical tasks as assigned. Maintain clean, organized, and properly stocked clinical and examination areas. Follow appropriate infection prevention, safety, and patient confidentiality protocols. Clinic Operations Maintain the clinical space according to established cleanliness and brand standards. Monitor exam room and clinical supply inventory and restock supplies as needed. Partner with clinic leadership/coordinators to identify supply needs and assist with reordering. Actively manage assigned EMR and task queues to ensure patient requests and administrative items are addressed promptly. Support the clinical and administrative teams with additional duties as needed. Required Qualifications Current CMA or CCMA certification/credential required. High school diploma or equivalent. Previous Medical Assistant and/or front office healthcare experience. Strong understanding of patient registration, scheduling, and healthcare administrative workflows. Comfortable working with EMR systems, Salesforce, and digital task management platforms. Excellent phone communication and customer service skills. Ability to manage multiple priorities in a fast‑paced clinical environment. Strong attention to detail and accurate documentation skills. Professional, polished communication style and ability to represent a premium healthcare brand. Ability to work independently while collaborating effectively with clinical and administrative teams. Must be available for scheduling between 7:00 AM and 11:00 PM . Preferred Qualifications Experience in a high‑end, concierge, private practice, hospitality, or luxury healthcare environment. Experience managing high‑volume inbound phone lines and quickly determining appropriate routing or escalation. Experience with Salesforce or similar CRM platforms. Experience working in a 24/7 healthcare or clinical environment. Phlebotomy, EKG, or other hands‑on clinical experience.
