GENERAL RESPONSIBILITIES (Specific job duties include, but are not limited to)

• Manage all education and meeting needs for the Association, including managing a demanding schedule.

• Develop a comprehensive annual professional development plan that includes conferences, seminars, webinars, development programs, meetings and other related events.

• Work with established banker committees to plan and execute annual conferences. Develop marketing and promotional strategies for events.

• Prepare project budget for each event, monitor revenue and expenses and take corrective action to meet financial goals.

• Conduct evaluations of meetings and events, incorporating the results into future events.

• Oversee educational webpages on the Association’s Collaborate online community

• Record minutes at WBA board meetings.

• Perform additional duties as required.

MEETINGS AND EVENTS

• Work closely with President, staff, and committees on event agendas.

• Research, negotiate and hire speakers and presenters and coordinate speaker fees, travel arrangements, logistics, etc.

• Communicate with speakers on details, including objectives, confirmation, materials, AV needs, accommodations, transportation, etc.

• Identify, solicit and secure event sponsors and exhibitors.

• Establish budget and pricing for each event.

• Select/secure location, negotiate, and confirm all facilities contracts, including meeting room charges, meal charges, sleeping room charges, A/V, etc.

• Coordinate physical set-up of events, including logistics, BEOs, AV needs, guarantees, invoicing, site inspection (if needed), etc.

• Manage on-site logistics.

• Approve and monitor expenses and oversee accurate recordkeeping for all events.

• Respond to member and participant questions and requests related to meetings and events.

• Oversee and gather “day of” and miscellaneous items, such as signs, nametags, bios, PowerPoint, speaker material, SWAG, prize drawings, etc.

• Prepare thank-you notes and follow-up

• Create and oversee distribution of all event marketing materials

QUALIFICATIONS

• Bachelor’s or Associate’s degree or equivalent experience with strong skills in communications and event planning.

• Highly professional in both communication and appearance.

• Ability to use clear, appropriate judgment in handling confidential information with discretion.

• Exemplary organizational skills and attention to detail.

• Knowledge of social media platforms.

• Exceptional written, verbal and interpersonal skills and have a working knowledge of grammar.

• Self-starter with the ability to manage time and prioritize activities.

• Demonstrated ability to work in a fast-paced multidisciplinary team environment.

• Proficient with Microsoft Office software.

• Ability to work well independently, troubleshoot and resolve issues independently; be able to foresee potential obstacles and problem solve along the way.

• Creative thinker and innovator.

• Highly organized and extremely detail-oriented, able to work at a high level of accuracy and efficiency.

• Team player with cooperative spirit and willingness to do what is necessary to get the job done.

REQUIREMENTS

• Ability to travel with overnight stays.

• Ability to work occasional nights and weekends.

• Hold a valid Class C Wyoming driver’s license.

• Ability to lift 25 pounds.

• Constant interruptions are typical. The position may require long periods of intense concentration entering data, which requires the highest level of attention to detail and accuracy.
