Rental Coordinator

Job Title

Responsible for managing facility rentals, birthday parties, and special events while ensuring a high level of customer satisfaction.

This position requires strong communication skills, attention to detail, and the ability to handle administrative and financial tasks related to facility rentals. Administers all aspects of rental agreements. This position will work at Green Ridge Recreation Center/Splash Valley Water Park. The position requires 20 hours a week and shifts may include days, evenings, nights, and/or weekends. Reports directly to the Business Services Supervisor. Performs related duties as assigned.

Shift Hours and/or days worked: Monday-Friday- 10:00am-3:00pm, plus possibility of some weekends, mornings, or evenings. Hours Required for this position: 25 hours per week

Essential Job Functions

Communicate with facility staff regarding scheduled rentals, birthday parties, and special events to ensure smooth operations. Engage with customers in person and over the phone to provide information about services, assist with inquiries, and ensure a positive experience. Handle cash, checks, and credit card transactions for rentals, birthday parties, and special events accurately and efficiently. Perform administrative tasks including data entry, rental usage tracking, record keeping, and reviewing reports for accuracy. Maintain and update staff on product and service information regarding rentals, birthday parties, and special events. Coordinate room scheduling, set-ups, and facility arrangements as required. Manage office supply inventory, mailings, and other clerical responsibilities. Assist in monitoring and evaluating the revenue and expense budget for facility rentals. Support the evaluation and training of rental staff to ensure exceptional customer service.

Requirements/Preferences

Education: Required: High School diploma Preferred: Associates degree or equivalent experience. Experience: Required: One (1) or more years of customer service experience required (could be in a variety of settings) Preferred: Two (2) or more years of customer service experience. Sales experience, i.e. retail or one-on-one direct selling experience. Certifications/Licenses: Required: None Preferred: Valid Virginia driver's license with good driving record. CPR, First Aid, and AED Certification (or ability to obtain within 60 days of hire). Knowledge, Skills and Abilities: Strong ability to work with the public in person and by phone. Ability to advise on and interpret policies in researching and resolving customer inquiries. requests and complaints. Good knowledge of office terminology, procedures, equipment technology. Knowledge of clerical methods used in office inventory control. Ability to maintain accounts involving mathematical computations. Ability to follow oral and written direction and work procedures. Ability to take initiative and follow through on assigned tasks. Skilled using Microsoft Word, Excel, and other computer software. Proficiency in Microsoft Office and other tools used for scheduling, communication, and reporting. Strong leadership, supervision, and team-building skills. Skilled in decision-making, budgeting, multi-tasking, and operational planning. Ability to identify safety concerns and manage risk within fitness and wellness environments. Ability to assist with the evaluation of program/class performance and make suggestions for data-informed improvements. Ability to work independently while maintaining effective communication with supervisory staff. Ability to follow and communicate through the established chain of command. Demonstrates reliability and punctuality in daily work. Supervisory Responsibilities: None Additional Requirements: Must be willing to work a flexible schedule including evenings, weekends, and holidays.
