Facilities Manager – Oversee day‑to‑day operations of facilities, custodial, safety, engineering, site services, and general maintenance in alignment with company policies and client directives. Responsibilities Manage all contracts, ensuring regular reviews, competitive bidding, and accurate invoicing. Supervise maintenance programs for interior and exterior property conditions and appearance. Respond promptly to tenant and occupant requests, maintaining positive relations. Implement contract programs to continually assess and resolve tenant and occupant needs in accordance with SLAs. Prepare and maintain site‑specific documentation and reports, including Property Information Book, Operating Manuals, safety and compliance logs, vendor certificates, as‑built drawings, purchase order log, and yearly performance reports. Review and approve budgets, financial reports, contracts, and purchase orders related to facilities. Coordinate annual budget preparation, quarterly reforecasts, and business planning. Assist in developing capital budgets, including a five‑year maintenance and improvement plan. Collect, analyze, and report statistical data to assess facility management objectives. Hire, train, and motivate facility staff; conduct performance evaluations. Ensure comprehensive understanding of the management contract and its requirements. Monitor tenant and vendor compliance with insurance; coordinate claims as required. Key Competencies Communication Proficiency (oral and written) Technical Proficiency Problem Solving / Analysis Leadership Teamwork Orientation Relationship Management Financial Management Education Bachelor’s degree in Facilities Management, Corporate Real Estate, Project Management, or Business Administration (required). Experience 5–7 years of commercial high‑rise, campus, or property portfolio management (required). Experience in leasing, construction, engineering, and all facets of property operation (preferred). Experience with critical system environments (desired). Experience developing and implementing cost‑efficiency programs (preferred). Experience with CMMS / Work Order Management (preferred). Additional Eligibility Qualifications CFM, IFMA, BOMA industry certifications (recommended). Knowledge of construction specifications, blueprints, and contract language. Proficiency in Microsoft Office Suite and financial systems (Yardi a plus). Strong discipline in financial management, budgeting, and forecasting. Experience with Building Management Systems maintenance and monitoring. Work Environment Professional office setting with standard equipment; occasional travel between properties. Physical Demands Regular computer use, communication, stationary period 50‑75%; movement around workplace; occasional manual handling. Other Duties Additional tasks may be assigned as needed.
