Patient Access Coordinator

Mission Own the patient pipeline from first contact through reactivation: convert inquiries, protect the schedule, recover cancellations and ensure recare and diagnosed treatment do not disappear into forgotten lists. Primary Outcomes Inbound calls receive fast, warm responses. New-patient inquiries convert into correct appointments. Schedules remain full and aligned with provider templates. Overdue recare and unscheduled treatment receive systematic follow-up. Routine phone work does not interrupt clinicians. Core Responsibilities Answer inbound calls and digital inquiries. Listen to the patient's need and guide them to the correct first appointment. Schedule according to approved templates and specialty requirements. Protect production blocks, hygiene capacity, emergency access and specialist sessions. Manage cancellations, waitlists and short-notice openings. Own recare/reactivation worklists. Follow up on diagnosed but unscheduled treatment. Escalate financial, fear-based or complex barriers to the Patient Experience & Financial Director. Document objections, decisions and next actions. Use automation for repetitive outreach and personal calls when human contact is needed. Ideal Candidate Excellent listener and telephone communicator. Dental scheduling, recare or patient-coordination experience preferred. Understands a dental schedule as a patient-care and production system. Persistent without being pushy. Comfortable with AI, automation, text, email and digital scheduling. Highly organized and outcome-oriented. Performance Scorecard Recare/reactivation appointments generated.
