Position Summary:

The Surety Administrative Representative provides administrative and operational support to the company’s Bail and Surety Divisions within a Property & Casualty insurance environment. This position is responsible for processing and reconciling bail agency production, administering bail bond power inventory, maintaining accurate agency and transaction records, and providing timely operational support to the company’s clients, bail agency network, and internal business partners.

This role requires a high level of accuracy, attention to detail, and accountability to ensure transactions, records, and operational processes are completed accurately, timely, and in accordance with established company procedures and applicable regulatory requirements.

Essential Duties and Responsibilities:

• Process production reports by entering and reconciling information received by company, depositing and reconciling associated report escrow funds, and maintaining related business records to ensure accuracy and timeliness.
• Review completed agent production reports, documentation, and account information for accuracy and completeness and follow up on discrepancies as necessary.
• Administer bond power inventory, including issuance, tracking, reconciliation, and inventory accountability.
• Provide customer service and administrative support to agents, including researching, resolving routine account, and reporting matters.
• General administrative support for the Surety Division’s operations, including production of cancellation notices, preparation of general and certified mailings, recording transactions in company software, and tracking and monitoring notices to ensure cancellations are fulfilled. 
• Support established internal controls, operational procedures, and record-retention requirements applicable to the Surety Division.

• Assist with agency administration and other operational activities supporting the company’s Surety business.
• Collaborate with Underwriting, Accounting, Compliance, and other internal departments as necessary to support accurate and efficient business operations.
• Perform other duties as assigned.

Qualifications:

• Associate degree in Accounting, Business Administration, Finance, Insurance, or a related field preferred; equivalent relevant work experience will be considered.
• Previous experience within the Property & Casualty insurance, surety, financial services, accounting, or insurance agency environment preferred.
• Experience working with financial transactions, account reconciliation, production reporting, or detailed business records preferred.
• Intermediate proficiency in Microsoft Excel and Word.
• Proficiency with standard business applications and the ability to effectively learn insurance and company-specific systems.
• Strong organizational and time-management skills with the ability to manage multiple priorities and meet established deadlines.
• Demonstrated attention to detail and commitment to maintaining accurate and complete records.
• Strong analytical and problem-solving skills, including the ability to identify, research, and resolve discrepancies.
• Effective written and verbal communication skills with a strong customer-service orientation.
• Ability to work independently and collaboratively in a team environment.
