POSITION SUMMARY:

 

The Loan Documentation Specialist performs a variety of advanced and detail-oriented tasks to support the loan processing function. Responsibilities include preparing loan documentation for commercial products, maintaining accurate loan files and records, processing loan transactions, and generating relevant reports. This position also provides guidance and assistance to loan processing clerks to ensure accuracy and regulatory compliance.

ESSENTIAL FUNCTIONS and DUTIES:

• Generate loan documentation for commercial loans, selecting appropriate forms for commercial products
• Order and manage title searches, flood certifications, and credit reports
• Analyze loan applications for completeness and determine appropriate processing actions
• Prepare Regulation Z disclosures and additional required forms or complete them when applicable
• Maintain and monitor the log for outstanding commercial letters of credit and commercial modifications, including origination and expiration dates; prepare associated documentation
• Review incoming information from borrowers, employers, etc., and verify documentation sufficiency; initiate verification forms when needed
• Stay current on changes and updates in regulatory loan compliance
• Communicate extensively—both written and verbal—with borrowers, realtors, appraisers, builders, and other involved parties
• Assist management in developing loan processing procedures and manuals to support compliance with HMDA requirements
• Prepare reports for new loans to be reviewed by management and/or the Board of Directors
• Support cross-training initiatives for operations personnel regarding loan production procedures
• Participate in Saturday morning rotation as scheduled
• Demonstrate ongoing commitment to the organization's vision and mission statements
• Propose process improvements and operational enhancements to the supervisor
• Respond to inquiries from the public, customers, and bank staff and resolve discrepancies
• Actively engage in community affairs to promote the bank's visibility and strengthen business development
• Perform other duties and assume additional responsibilities as assigned

REQUIRED SKILLS and ABILITIES:

• Strong keyboarding and PC proficiency
• Excellent interpersonal and communication skills
• Highly organized, accurate, and detail-oriented
• Working knowledge of Decision Pro, Laser Pro, and Jack Henry Silverlake systems is desired

REQUIRED EDUCATION and EXPERIENCE:

• High school diploma or equivalent
• Experience in residential and commercial loan documentation is preferred

• Prolonged periods of sitting : Ability to remain seated for extended periods while performing computer-related tasks.
• Manual dexterity : Proficiency in handling and manipulating objects, including typing and using office equipment such as printers, scanners, and fax machines.
• Visual acuity : Ability to read and interpret data on computer screens and paper documents.
• Hearing: Capability to hear and respond to telephone calls, office sounds, and discussions with colleagues.
• Basic physical tasks : Ability to perform occasional lifting, such as moving office supplies or documents, typically weighing up to 25 pounds.
• Mobility: Ability to move around the office to attend meetings, retrieve documents, or collaborate with colleagues.
