ACTIVITIES ASSISTANT - Part-Time Summary of Position Assist with planning and facilitating activities and events for lodge guests, creating fun and memorable experiences while providing excellent customer service. Responsibilities Provide administrative and clerical services that contribute to the achievement of guest satisfaction. As directed, input information into the database of event planners and assist with prospect mailings. Data enter specific event information into the point-of-sale system and generate reports as requested. Assist with the production and distribution of promotional brochures. Obtain information on upcoming guest reservations and send event information via email prior to arrival. Respond appropriately to requests for tickets and other assistance. Greet and maintain rapport with customers, maintaining a positive image and promoting the Lodge to current and potential customers. Develop strong working relationships and ongoing communication with other departments to ensure a positive customer experience. Assist in the preparation and processing of invoices for group events, as well as check requests for destination vendors. Answer questions from guests, event planners and vendors. Requirements High school diploma. Strong computer skills, including Word, Excel, Outlook, Access (or other database software), web and publishing software. Demonstrated success in teamwork and customer service. People-oriented, with an upbeat and positive attitude, in person and by phone. Demonstrated high level of detail orientation, organization, and time management. At least two years of experience in administrative support positions. Experience in public contact positions essential. Must be able to sit, walk and stand for long periods of time. Must be willing to work weekends, evenings and holidays as needed.
