Rental Fleet Coordinator

As the Rental Fleet Coordinator, you are responsible for managing the insurance claim process from start to finish while providing exceptional customer service and support to the internal team. This role requires strong organizational skills, attention to detail, timely communication, and the ability to coordinate effectively with customers, insurance companies, rental locations, and internal departments. The Rental Fleet Coordinator ensures claims are handled efficiently and accurately while maintaining a positive customer experience and supporting the team’s operational needs. Responsibilities: Working knowledge of insurance claims processes, including filing and internal claim handling Open and track repair/service orders Accurately handle customer information for rental agreements and contracts (credit cards, ID, insurance) Documenting vehicle damage (writing damage reports, noting pre-existing vs. new damage) Handle confidential customer and insurance information professionally Resolving discrepancies during audits or disputed damage claims Requirements: 2 years of experience in car rental, auto service, insurance claims, or customer service preferred Strong attention to detail for accurate weekly/monthly fleet audits Proficient in Microsoft Office (Excel, Word) and comfortable learning rental/fleet management software TSD DEALER program Strong written and verbal communication skills for customer-facing interactions Organizational skills, ability to multitask Familiarity with insurance carrier claim portals and processes Bilingual communication skills a plus Valid driver's license, often required Germain Offers: Comprehensive Coverage & Health, Dental and Vision Insurance 401(k) Savings Plan with Employer Match Paid Vacation/Company Holidays Competitive Wage Plans Ongoing Professional Development and Internal Promotions Company Outings and Activities Employee Discounts Whether you’re an industry veteran or looking to begin your career in the exciting, fast-paced world of automotive retail, we’ll provide you with the tools, training, and opportunities to help you succeed.
