The Information Services Specialist II performs enrollment processing to accept, prioritize, identify, verify, image and index student documents received via electronic transmission or postal mail for campus departments in a timely and accurate manner, using University Admission, Registrar and Financial Aid guidelines. Minimum Education and Experience Associate’s degree and three years of work experience. An equivalent combination of education and experience is acceptable. Preferred Education and Experience Other Qualifications To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position. Essential Duties and Responsibilities Process and authenticate electronic documents in Hyland OnBase system workflow queues. Image paper documents and index using various enterprise systems, ensure documents meet quality standards, operate scanning equipment, and verify content is being accurately scanned. Demonstrate integrity in working with confidential information while maintaining FERPA compliance. May serve as Enrollment Operations Mail Room lead, including coordinating with University Central Receiving, overseeing letter fulfillment, and processing checks. Assist in designing, testing, and implementing future workflow enhancements. Participate in various training opportunities to stay current and improve knowledge base of various platforms and policies affecting document processing. Attend required meetings and support University admission events as assigned. Physical Demands and Working Conditions Requires the ability to sit or stand at will for extended periods frequently throughout the workday. Requires the ability to perform frequent to constant repetitive keyboarding functions to complete work tasks. Requires the ability operate office machinery such as multi-function printers and copiers, letter opener, and letter inserter/folder. May require the ability to lift and carry up to 25 pounds occasionally. Physical Activities Working Conditions Additional Information This position may require intermittent overtime during peak periods, including evenings and weekends. Required Skills and Abilities Demonstrated history of integrity and ethical behavior when working with confidential and sensitive information Proficiency in Microsoft Office Suite with ability to learn new software systems Detail-oriented and accurate with the ability to prioritize information in a timely manner Excellent organizational and time-management skills with the ability to multi-task Strong communication and active listening skills with the ability to receive and follow directions and work effectively as part of a team Proactive approach to identifying potential issues and problems Remote Work Notice Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
