Position Summary

The Inside Sales Specialist / Service Dispatcher is responsible for quoting new business and serving as a key point of contact for customers requesting parts, and service. Inside sales and quoting is the primary focus of this position. In a secondary capacity, this position dispatches and provides administrative support for field service technicians, including scheduling service calls, parts, and processing service paperwork.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Inside Sales and Quoting (Primary Responsibility)

• Respond promptly to inbound inquiries, requests for quote (RFQs), and leads from customers, distributors, and outside sales, identifying customer needs and recommending the appropriate equipment, parts, or services.
• Prepare accurate and timely quotes and proposals for new business using price books, bills of material, specifications, and drawings; confirm pricing, lead times, and availability with engineering, purchasing, and production as needed.
• Follow up on open quotes to answer questions, address objections, negotiate within established guidelines, and convert quotes into orders.
• Enter and maintain customer, lead, quote, and order information in the CRM and ERP systems; track quote activity and provide pipeline and quote status reports as requested.
• Review customer purchase orders against quotes, enter sales orders, and coordinate with accounting, production, and shipping to confirm credit terms, order details, and delivery dates.
• Serve as a day-to-day contact for customers regarding pricing, availability, lead times, and order status.
• Support outside sales and management with quote requests, customer information, and sales materials, and assist with trade shows and customer events as needed.

Field Service Dispatch and Administrative Support

• Schedule and dispatch field service technicians to customer sites based on priority, location, skill set, and availability; adjust schedules as service needs change.
• Receive service requests from customers and technicians, create and track service tickets and work orders, and keep customers informed of technician schedules and arrival times.
• Order, track, and coordinate shipment of parts and materials needed for service calls.
• Collect and process technician paperwork, including service reports, timesheets, and ensure completed work orders are submitted for invoicing.
• Maintain service calendars, files, and records, and prepare service-related reports as requested.
• Perform other general administrative duties, such as answering phones, sorting correspondence, filing, and data entry, as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

• High school diploma or GED
• Minimum of two (2) years of experience in inside sales, customer service, estimating, or quoting, preferably in a manufacturing, industrial equipment, or construction-related environment.
• Experience with dispatching, scheduling, or administrative support preferred.
• Ability to read and interpret specifications, drawings, and bills of material; mechanical aptitude and knowledge of the concrete or precast industry are a plus.
• Strong math skills and attention to detail for accurate pricing and quoting.
• Proficiency with Microsoft Office (Outlook, Excel, and Word); experience with ERP and CRM systems preferred.
• Excellent verbal and written communication skills with a professional, customer-focused phone and email presence.
• Strong organizational and time-management skills with the ability to prioritize, multitask, and shift between sales and dispatch responsibilities in a fast-paced environment.
• Self-motivated, with the ability to work independently and as part of a team.
