Position Title: Director of Student Services Compensation: $65,000 - $75,000 Department: CAP Deans Office About this opportunity: The Director of Student Services provides the College of Architecture and Planning with strategic and tactical coordination of recruitment, admissions, enrollment management, and retention of its undergraduate students. Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship. What you'll do and what you'll bring: Position Function: Provide the College of Architecture and Planning with strategic and tactical coordination of recruitment, admissions, enrollment management, and retention of its undergraduate students. To serve as the lead student services advocate for CAP undergraduates by facilitating problem resolution with college or university level business services. Duties/Responsibilities: Recruitment – Direct and implement ECAP undergraduate recruitment, admissions, and registration processes; leverage visit opportunities to increase student interest in college majors; ensure the quality and effectiveness of the visit experience, by scheduling and coordinating all college tours of prospective students in collaboration with the Office of Admissions; coordination and presentations for all Office of Admissions recruitment activities in the college (Preview Days, Admitted Student Day, Project Stepping Stone, Discover Ball State, High School Counselor visits, etc.); identify and implement outreach tactics to high schools, community programs – including visits and workshops; pursue increase of populations in the recruitment pipeline through above activities and other; create and maintain a network of volunteers (alumni, parents, current upper-level students, and friends of CAP) representing the assigned academic areas who are interested in contributing to student mentorship and success; design and implement plans for the recruitment of applicants; implement tactics to maintain and improve excellence in the applicant pool; identify (with college leadership) and meet annual enrollment targets through calibrated admission processes; provide yearly assessment reports to the Dean, Associate Dean, and Department Chairs on admissions strategies and tactics. Enrollment – Coordinate review of all applicants for admission by Department Chairs or designated admissions task force; continually improve the quality of the first-year CAP cohort; advise denied students regarding re-applying and alternative pathways into CAP programs; with department chairs, identify potential 2-year transfer programs for possible Transfer Single Articulation Pathway; develop internal processes to assess accreditation requirements in articulation agreements; identify and meet college annual enrollment targets; provide monthly reports to the Dean, Associate Dean, and Chairs on enrollment trend numbers. Student retention and success – Promote and maintain a “hassle-free” ECAP undergraduate student experience by assisting all students needing help resolving college or university related business problems (resolving issue or identifying university resource for student to contact); oversee college efforts at student retention and success in the first year of the undergraduate program; serve as point-person for students with mental health resource questions (awareness of university resources and ability to connect students with resources); serve as point-person for student support inquiries (need for supplies, resources, financial aid) and awareness of university resources to direct students towards. In partnership with the First Year Program Coordinator and College leadership, coordinate and facilitate first-year activities that focus on major (disciplinary) exploration, pre-professional preparation (portfolios, resumes, etc.) and related peer-to-peer programming for student success. Participate with the Dean, Associate Dean and Chairs in defining the role and responsibilities of the CAP Student Support Services office and communicate role and responsibilities to all college publics; work with assigned directors to develop policies, procedures, and guidelines consistent with the college’s mission and the university’s strategic admissions and enrollment plans. Coordinate identified CAP alumni, faculty, and students to serve as spokesperson(s) to assist with the recruitment of prospective undergraduate students and provide them with the tools to tell the current story of an ECAP educational experience. Develop and implement communication strategies and campaigns for high school and freshmen engagement with interest in CAP. Manage the college scholarship program, plan and implement the college merit award and donor recognition ceremony, coordinate the college senior class graphic design competition, and the college spring commencement ceremony; and assist departments in organization and collection of all graduate exit surveys. Work with College Leadership in planning, program assessment, budget development, and policy formation for CAP first year recruitment and enrollment. Serve as the college representative on institutional committees related to admission, recruitment, retention, and commencement. Provide leadership and coordination for the staff and area programs for the following: CAP first year recruitment; CAP first year admission; CAP ambassadors for visits by prospective students; upper class CAP mentors for CAP first year students; first year CAP scholarship recognition; and CAP commencement. Coordinate recruitment and enrollment of CAP summer camp offerings including DesignWorks and all other summer camps or workshops supported by CAP; develop registration process(es); oversee university compliance for these offerings; review and edit university contracts for housing, travel, recreation; monitor workshop payments; arrange necessary transportation from airports for participants; oversee all advertising updates and outreach for workshops. Maintain and communicate current and historic data on CAP enrollment trends. Implement strategies and tactics with enrollment and related issues to keep CAP website current. Provide copy writing, support, and subject matter coordination for CAP website. Work closely with CAP academic and Ball State freshmen advisors. Perform other related duties as assigned. Minimum Qualifications: Bachelor's degree from an accredited institution. Three years of experience in student programming and admissions with demonstrable success. Preferred Qualifications: Master's degree from an accredited institution. Five-years of experience working with a broad range of student programming and support initiatives. Experience working with organizations and faculty and contacts within professional design firms.
