Director of Operations

The Director of Operations serves as the operational backbone of The Kendall Hood Collection, partnering closely with the Team Principal to ensure the business runs efficiently, consistently, and at the highest level. This role oversees team operations and systems, executive support, listing operations, and lead management, while continuously improving processes that enhance both the client and agent experience. The ideal candidate is highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities in a fast-paced luxury real estate environment. They enjoy building efficient systems, anticipating needs, solving problems, and creating operational excellence behind the scenes. Team Operations & Systems Oversee the day-to-day operations, systems, and accountability that keep the team organized, efficient, and moving forward. Responsibilities include: Lead and facilitate weekly team meetings Track team goals, initiatives, and performance metrics Maintain team accountability systems and follow up on action items Manage internal team communication and project follow-up Maintain team production dashboards, reports, and internal Google Sheets Manage Compass platform tools, CRM organization, and team workflows Build, document, and maintain Standard Operating Procedures (SOPs) Identify opportunities to streamline workflows and automate repetitive tasks Implement new systems, technology, and operational improvements Ensure team processes and systems are consistently followed Coordinate team initiatives and special projects Plan and coordinate team photo shoots twice annually Coordinate the annual 30A in May event, client appreciation events, and other team events Executive Support Provide high-level administrative support to the Team Principal. Responsibilities include: Prepare and customize listing presentations Prepare Comparative Market Analyses (CMAs) Support listing appointment preparation and follow-up Schedule showings and coordinate showing logistics Manage calendars, appointments, and scheduling Submit and track business expenses Track referral partners and referral payments Coordinate client gifts, referral gifts, holiday gifting, and Christmas cards Support day-to-day executive priorities as needed Listing Operations Oversee the complete listing process from signed listing agreement through MLS launch and ongoing listing management. Responsibilities include: Coordinate listing timelines, deadlines, and launch schedules Prepare and review listing paperwork for accuracy and completeness Coordinate Coming Soon and MLS launches Prepare MLS remarks, agent remarks, and listing information Coordinate required seller disclosures and listing documentation Coordinate listing eBlasts and email marketing Coordinate price improvements, listing updates, and associated marketing Monitor listing activity and performance Lead Management Oversee the team's lead distribution process to ensure prompt follow-up and accountability. Responsibilities include: Vet incoming leads Assign leads according to established team procedures Monitor lead response times and follow-up Maintain agent accountability for assigned leads Track lead activity and identify gaps in follow-up Recommend improvements to lead management and conversion processes Preferred Experience 3+ years of experience in real estate operations, listing management, executive support, or operations leadership Experience with MLS platforms, Google Workspace, and CRM platforms Strong written and verbal communication skills Excellent organization and attention to detail Ability to manage multiple projects, deadlines, and priorities simultaneously Comfortable learning and implementing new technology and systems Compensation $70,000–$85,000 annually, depending on experience #J-18808-Ljbffr The Kendall Hood Collection
