Job Description – Staffing Coordinator We are seeking a detail‑oriented and organized Staffing Coordinator to support workforce scheduling and operational staffing needs in a fast‑paced healthcare environment. The ideal candidate will have experience managing provider and staff schedules, ensuring adequate coverage, and maintaining compliance with organizational and regulatory guidelines. Key Responsibilities Develop, maintain, and update comprehensive staff and provider schedules to ensure appropriate clinic coverage. Manage real‑time scheduling updates using workforce management systems (e.g., UKG/Kronos). Monitor staffing levels and promptly address last‑minute changes such as absences, emergencies, or fluctuations in patient volume. Ensure all scheduling practices comply with organizational policies, labor laws, and departmental guidelines. Publish schedules on a regular cycle and communicate updates clearly and in a timely manner. Coordinate weekend, holiday, and rotating shift coverage to ensure equitable staffing distribution. Process time‑off requests, verify eligibility, and secure necessary approvals. Adjust schedules to reflect approved leave and arrange coverage as needed. Track attendance, availability, and time‑off usage, escalating concerns when appropriate. Collaborate with HR and Payroll teams to reconcile scheduling and timekeeping records. Conduct routine audits of schedules to ensure accuracy, compliance, and adherence to regulations. Monitor compliance with work‑hour limits, overtime rules, and internal policies. Prepare staffing reports and dashboards using tools such as UKG, Excel, or Tableau for leadership review. Identify and recommend process improvements based on operational data and audit findings.
