We are a growing financial services firm seeking a professional, organized, and client-focused Client Services Associate to join our team.

This role is ideal for someone who enjoys building relationships, keeping a busy office organized, and making sure clients receive exceptional service from their first interaction through ongoing account support.

The Client Services Associate will work closely with our advisors, management, clients, and internal team to coordinate appointments, assist with client requests, maintain accurate records, and support the day-to-day operations of the office.

Key Responsibilities

• Serve as a primary point of contact for clients and provide responsive, professional service
• Schedule and confirm client appointments and maintain advisor calendars
• Prepare for client meetings and assist with follow-up items
• Assist with new client onboarding and account paperwork
• Track outstanding documents, signatures, and service requests
• Process routine client account requests and maintain accurate records
• Communicate with clients regarding paperwork, account updates, and outstanding items
• Coordinate with advisors, operations staff, and outside financial institutions
• Maintain client information within CRM and other internal systems
• Assist with incoming phone calls, emails, and general client inquiries
• Prepare correspondence, reports, forms, and other client materials
• Help maintain organized and compliant client files
• Support office operations and special projects as needed
• Identify opportunities to improve client service and internal processes

Preferred qualifications include:

• 2+ years of experience in client service, financial services, banking, insurance, professional services, or a similar office environment
• Strong written and verbal communication skills
• Excellent organizational and time-management skills
• Ability to manage multiple priorities without losing attention to detail
• Professional and confident communication with clients
• Strong follow-through and problem-solving skills
• Comfortable learning new software and technology
• Experience with Microsoft Office, Outlook, CRM systems, and electronic document platforms
• Ability to handle confidential client information with discretion
• Financial services or securities industry experience is a plus
