Description:
The Property Coordinator plays a critical support role in the daily operations of a residential property portfolio by serving as a primary liaison between residents, vendors, and the property management team. This role is designed to enhance resident satisfaction, ensure field-level compliance, and increase operational efficiency. The ideal candidate is highly organized, responsive, and proactive, with the ability to build rapport and maintain professional boundaries in a fast-paced, high-touch environment.
This role also supports new property onboarding, leasing operations, and service team guidance, ensuring smooth workflows and consistent standards across the portfolio.
Requirements:Resident & Property Operations
- Serve as the first point of contact for residents regarding maintenance issues, property concerns, and general inquiries.
- Conduct routine property inspections to identify maintenance needs, lease violations, and potential hazards.
- Facilitate access for vendors and contractors, ensuring timely completion and quality control of field work orders.
- Deliver notices, coordinate key pickups, and assist with move-ins and move-outs, including inspections and determining charges.
- Support resident engagement by maintaining a visible, professional presence at properties and providing updates on repairs, policies, and scheduled work.
- Document and report on-site observations, lease violations, or resident interactions in a timely and organized manner.
- Collect documentation related to rental assistance or compliance programs when applicable.
- Monitor common areas and curb appeal, reporting issues that impact safety, cleanliness, or resident satisfaction.
- Maintain inventory of lockboxes, keys, and signage for assigned properties.
- Ensure all tasks are completed in accordance with company policies and applicable laws.
New Property Onboarding & Project Coordination
- Support onboarding of new properties from internal divisions (EBH, ENB, EII) or outside owner requests. Coordinating with the Construction & Project Lead, Director, or Service Supervisor to ensure units are ready for occupancy
- Assist with property inspections, punch-list completion, and vendor coordination during onboarding.
- Document onboarding progress and ensure all operational and leasing processes are in place for new properties.
Leasing Support
- Support the leasing team with scheduling property showings, move-ins, and applicant follow-up.
- Assist with lease documentation, resident communication, and move-in readiness.
- Collaborate with Virtual Assistants (VAs) or administrative staff to streamline leasing processes and maintain accurate records.
Maintenance Oversight & Guidance
- Oversee and provide instruction to maintenance staff on routine and corrective work orders.
- Assist with prioritization of maintenance tasks, ensuring timely completion and quality standards are met.
- Communicate with vendors and contractors to ensure work is completed per company specifications and compliance requirements.
- Monitor performance metrics and workflow, providing feedback to the Property Manager and supporting team development.
Additional Duties
- Respond to after-hours emergencies on a rotating basis or as scheduled.
- Provide hands-on support for move-in/out inspections, coordination with city/municipality requirements, and property-level initiatives.
- Model and uphold company values including professionalism, responsiveness, and respect.
- Perform other duties as assigned to support the success of the property management team.
Qualifications
- Associates degree or equivalent work experience in property management, social services, or a related field
- Minimum of 12 years of experience in a residential property or customer service-focused role
- Strong interpersonal skills with the ability to maintain professionalism in sensitive resident interactions
- Familiarity with local housing regulations, rental assistance programs, and fair housing laws is a plus
- Self-directed and dependable with excellent time management and follow-through
- Comfortable working in the field, traveling between sites, and occasionally responding to after-hours needs
- Technologically proficient with regular use of smartphone apps, email, and Google Workspace (Docs, Sheets, Gmail, Drive, etc.)
- Experience with property management software (e.g., AppFolio, Buildium, Yardi) preferred
- Valid drivers license and reliable transportation required
Working conditions
The role requires work in both indoor office settings and outdoor environments during site visits. The employee may be exposed to varying weather conditions including rain, heat, cold, or snow when traveling to or inspecting properties. While most work is completed in a climate-controlled office, property visits may occasionally involve entering units or structures with minimal heating, cooling, or ventilation.
Noise levels are typically moderate in the office but may be louder in occupied or active property settings. The employee is not typically exposed to hazardous conditions but should remain aware of surroundings when visiting sites where maintenance or renovation work is taking place. Occasional exposure to dust, cleaning products, or odors may occur during inspections.
Physical demands
While performing the duties of this position, the employee is regularly required to sit for extended periods, use hands to type and operate standard office equipment, and communicate effectively in person and via phone or email. The role requires frequent walking, standing, climbing stairs, and entering residential properties, including multifamily buildings without elevators.
The employee must occasionally lift and carry items up to 25 pounds (e.g., signage, marketing materials, files). Visual acuity is required for reading, writing, reviewing leasing documents, using computers, and observing property conditions during site visits.
