Day to day: A client of Insight Global is seeking a highly organized and detail-oriented Accounts Payable Specialist to manage the full accounts payable lifecycle. This individual will serve as the primary resource for all AP functions, including invoice processing, vendor onboarding, vendor management, EDI transactions, payment processing, reconciliations, and reporting. The ideal candidate thrives in a fast-paced environment, is a proactive problem solver, can manage high transaction volumes, and acts as a key liaison between vendors, procurement, accounting, and business stakeholders. This position is fully remote but must be local to NC or SC.

Key Responsibilities

Accounts Payable Operations

• Process high-volume vendor invoices accurately and timely.
• Review, code, and enter invoices into the ERP system.
• Perform three-way matching of invoices, purchase orders, and receipts.
• Research and resolve invoice discrepancies, pricing issues, and payment exceptions.
• Manage credit memos, debit memos, and adjustments.
• Maintain invoice queues and ensure adherence to payment deadlines.

Vendor Management & Setup

• Complete new vendor onboarding and vendor master record maintenance.
• Collect and verify W-9s, tax documentation, banking information, and supporting records.
• Perform vendor validation, TIN matching, and compliance checks.
• Manage vendor communication regarding payment status, invoice issues, and account updates.
• Maintain strong vendor relationships while ensuring compliance with company policies.

EDI & System Management

• Process and troubleshoot EDI invoices and payment transactions.
• Monitor invoice interfaces and resolve transmission failures.
• Work with business users and technical teams to resolve system-related AP issues.
• Assist with ERP upgrades, process improvements, and AP automation initiatives.
• Support electronic invoicing workflows and vendor portal administration.

Payment Processing

• Prepare and process ACH, wire, virtual card, and check payments.
• Review payment batches for accuracy and approval.
• Monitor payment schedules and ensure timely vendor disbursements.
• Investigate and resolve payment discrepancies and returned payments.

Reconciliations & Reporting

• Reconcile vendor statements and resolve outstanding items.
• Support month-end and year-end close activities.
• Assist with account reconciliations and AP aging analysis.
• Prepare reports related to invoice volume, payment activity, vendor balances, and AP metrics.
• Maintain accurate documentation for audits and compliance reviews.

Compliance & Controls

• Ensure adherence to internal controls and AP policies.
• Assist with audit requests and documentation gathering.
• Support 1099 reporting and year-end vendor tax activities.
• Maintain accurate records and audit-ready documentation.
• Identify process improvement opportunities to increase efficiency and accuracy.

Must Haves:

• 1-3 years of Accounts Payable experience, preferably in a high-volume environment.
• Experience managing full-cycle AP processes.
• Knowledge of invoice processing, vendor management, reconciliations, and payment processing.
• Experience working with EDI transactions and electronic invoice systems.
• Proficiency with ERP systems such as SAP, Workday, Oracle, NetSuite, Lawson, Sage, JD Edwards, or similar platforms.
• Strong Microsoft Excel skills including VLOOKUPs, Pivot Tables, and data analysis.
• Excellent organizational, communication, and problem-solving skills.
• Ability to prioritize multiple responsibilities and meet deadlines.

Plusses:

• Associate or bachelor’s degree in accounting, Finance, Business Administration, or related field.
• Experience supporting ERP conversions or AP automation projects.
• Knowledge of 1099 processing and tax compliance.
• Healthcare, manufacturing, or shared services experience preferred.
