divh2Receptionist Medical Clerk/h2pThe Receptionist/Medical Clerk is primarily responsible for front desk operations, administrative support, and client reception./ppJOB RESPONSIBILITIES/pulliAdministrative Duties:/liulliRoute client/patients to the appropriate areas within the agency./liliAnswer phones, check and return voice messages in a timely manner./liliAssist with front desk duties as required (i.e. Telehealth, phone, or in-person appointment scheduling. Patient reminder calls)./liliResponsible for follow-ups with no show/cancellation appointments./liliCheck patients in for their appointments in a timely manner using the correct events in Electronic Health Record (EHR)/liliUpdate patient demographic in agency data systems (NextGen, Casewatch, Provide as appropriate)./liliEnsure photo ID and insurance cards are scanned for all patients./liliEnsure that all consent forms are signed and scanned into electronic health records./liliCheck patients out at the end of their appointment and provide follow-up appointment details./liliProvide a Clinical Visit Summary to all patients./liliProvide access to the Patient Portal (using patient portal pin letters) and instruct the patient to enroll for their benefit./liliPrint and provide information for referrals issued by providers./liliEnsure patient documentation is completed and recorded in the agency database./liliVerify patient insurance carrier/coverage prior to visit and ensure accurate billing based on Insurance Verification report or through insurance provider portal/Availity./liliRespond to correspondence and tasks in a timely manner via patient portal./liliRecord and maintain patient health records in an agency database (i.e. NextGen, Provide) and other data systems and/or patient records as required./liliEnsure external 3rd party documentation (i.e. labs, consultations, reports, etc.) is collected, entered in the patients electronic health records (EHR) via scanning and tasking the provider or resulting the order in the EHR./liliComfort patients by anticipating patient anxieties, answering patients questions, and maintaining the reception area./liliConduct inventory of all office supplies (i.e. business/appointment cards, toner, paper) and ensure the office is fully equipped./li/ulliFiscal Duties:/liulliCollect co-payments, deductibles, and balances at time of check-in./liliAssist supervisor in following up on denials and/or pending claims with 3rd party payors./liliAddress and problem-solve patient billing issues when presented./li/ulliQuality Assurance/Compliance:/liulliEnsure online training is current as required./liliEnsure that medical operations fully comply with agency and HIPAA requirements./liliParticipate in agency developmental activities as required./li/ulliCulture of Service:/liulli3 Cs Compassion/liulliGreets internal or external customers (i.e. patient, client, staff, vendor) with courtesy, making eye contact, responding with a proper tone and nonverbal language./liliListens to the internal or external customer (i.e. patient, client, staff, vendor) attentively, reassuring and understanding of the request and providing appropriate options or resolutions./li/ulliCompetency/liulliProvides services required by following established protocols and when needed, procure additional help to answer questions to ensure appropriate services are delivered./li/ulliCommitment/liulliTakes initiative and anticipates internal or external customer needs by engaging them in the process and following up as needed./liliPrioritize internal or external customer (i.e. patient, client, staff, vendor) requests to ensure the prompt and effective response is provided./li/ulliSafety/liulliEnsures proper handwashing according to the Centers for Disease Control and Prevention guidelines./liliUnderstands and appropriately acts upon the assigned role in Emergency Code System./liliUnderstands and performs assigned roles in the organizations Continuity of Operations Plan (COOP)./li/ul/ulliContact Responsibility/liulliThe responsibility for external contacts is constant and critical./li/ulliPhysical Requirements/liulliThis work requires the following physical and sensory activities: constant sitting, hearing/visual acuity, talking in person and on the phone.
