The Bilingual Medical Receptionist supports front-office operations by greeting patients, answering calls, scheduling appointments, maintaining accurate patient records, verifying insurance benefits, and collecting patient financial responsibility. This role performs daily payment reconciliation, supports financial advocacy referrals, protects patient confidentiality, and helps maintain efficient clinic flow.

• Greet patients, answer incoming calls, and respond to inquiries with professionalism and cultural sensitivity.

• Register patients according to established protocols and maintain accurate demographic, billing, insurance, and identification information.
• Explain medical office procedures and policies and help patients move through appointments as scheduled.
• Schedule and coordinate patient appointments and maintain related documentation.
• Complete insurance verification during registration by reviewing benefit details to determine patient financial responsibility.
• Accurately scan and maintain patients' insurance cards and photo identification.
• Collect copays, outstanding balances, and other patient financial responsibility during in-person and virtual checkout in accordance with Kind Clinics policies and procedures.
• Complete daily patient financial reconciliation, including balancing payment batches, validating deposits, completing financial sign-off procedures, and maintaining accurate financial documentation.
• Connect patients with Financial Advocates when appropriate and complete applicable financial advocacy requirements accurately and on time.
• Report statistics as required; manage incoming and outgoing mail; and maintain supplies, forms, and an orderly reception area.
• Safeguard patient privacy and confidentiality and complete other clerical duties and office-management tasks as assigned.
• Identify and support processes and systems that improve clinic flow.

Performance Expectations

• Schedule appointments accurately according to clinic protocols and document corrections promptly.
• Complete patient check-in within the clinic's established service standard.
• Verify insurance and scan required identification and insurance cards accurately before checkout.
• Complete daily payment reconciliation and sign-off procedures without unresolved discrepancies.
• Implement approved process changes by the stated effective date.

Compensation

Based on the position’s duties and requirements, this role has a starting hourly rate of $21.63. The initial salary will be determined by the selected candidate’s qualifications and relevant experience.

Requirements

• High school diploma or GED.
• Knowledge of medical terminology, procedures, and diagnoses.
• Knowledge of general administrative and clerical procedures.
• Basic computer skills, including experience with Windows and Microsoft Outlook, Word, and Excel.
• Ability to protect confidential information and follow HIPAA privacy requirements.
• Strong customer service, diplomacy, tact, and interpersonal communication skills.
• Ability to work effectively with people from diverse roles, backgrounds, cultures, and socioeconomic circumstances, including people in crisis or who may be resistant to organizational processes.
• Ability to prioritize, manage multiple tasks, meet deadlines, and work productively with minimal supervision and as part of a team.
• Fluency in English and Spanish, including the ability to communicate with patients in both languages.
• Active Basic Life Support (BLS) certification required or must be obtained before hire date.

Preferred Qualifications

• Prior experience in a medical office, healthcare, or patient-access setting.
• Working knowledge of electronic medical record software.
• Working knowledge of healthcare insurance and patient financial responsibility.
• Prior experience in a nonprofit organization or with historically underserved populations.
