About the University of Hawai‘i Foundation:
The University of Hawaiʻi Foundation was established in 1955 to encourage private support for the University of Hawaiʻi. Today it is the central fundraising organization for the UH System and is contracted by the Board of Regents to be the sole provider of fundraising and alumni services. In addition to fundraising, the Foundation manages more than 7000 gift accounts for the benefit of the university and its students.
The UH Foundation is a private, institutionally related corporation designated as a 501(c)(3) organization by the Internal Revenue Service. It is a legally separate entity from the University of Hawaiʻi, the UH Alumni Association, and all other UH affiliates. However, the UH Foundation works closely with these organizations, as well as with others in the community, exclusively for the benefit of the university.

Position Summary:
The Development Coordinator is a key member of the University of Hawai‘i Foundation (UHF) Development team, primarily focused on providing development, administrative and project management support to support development operations. The Development Coordinator will provide support to the UHF Development Team in matters that directly involve the University of Hawai’i and UHF Development Leadership.
Based at John A. Burns School of Medicine (JABSOM), the Development Coordinator may need to visit areas of the University campus, as well as locations in and around O‘ahu. The Development Coordinator may need to work weekends or evenings and may exceed a 40-hour work week to fulfill the demands of the position.
Duties & Responsibilities:
Donors & Development Support (50%)
- Provide development administrative support for the Development Officers, primarily focused on qualifying, solicitation and gifts.
- Assist with prospective donor portfolios for the Development Officers.
- Enter information into the fundraising system, which includes but is not limited to proposals, contact reports, strategy and next steps.
- Assist in the documentation of written strategies and milestone dates.
- Develop and run reports as necessary.
- In consultation with the DDO, develop and implement a systematic maintenance plan.
- Assist Development Officers in requesting gift documentation and gift proposals.
- Assist with opening new accounts, processing account and transfer paperwork, pulling reports.
- Assist Development Officers in implementing and improving internal processes, as well as promote and strengthen inter-department UHF/UH relationships.
Development Operations and Administration (25%)
- Organize and facilitate meetings, schedule and coordinate dates, times, venues, attendance, agenda, and facilities, compile briefings or takes notes when necessary and provide administrative support and follow-up on matters arising from internal, external and donor meetings.
- Assist the DDO prepare for meetings and other activities, then document and organize the follow-up requirements at the end of these activities.
- Research, draft, and edit written communications that may include briefing materials for meetings and events, proposals, reports, and correspondence.
- Gather, assemble and refine material and data required for correspondence, memorandums, reports, or other material.
- Regularly deal with diverse matters requiring a broad knowledge of the Foundation’s organizational operations and policies necessary to ensure appropriate decision-making protocols are followed.
- With other administrative personnel, provide back-up administrative and telephone support for the seamless functioning of UH Foundation offices.
- Provide back-up development operations and fiscal support.
- Regularly work with information of a sensitive, highly confidential and strategic nature.
Communications (15%)
- Establish and maintain effective working relationships with a broad constituency inside and outside the Foundation and University of Hawaii System. Represent the Foundation in a positive manner internally, to the University, and to the community.
- Communicate in writing and/or verbally with high profile internal and external contingents, including University and UH Foundation leadership, donors, and supporters.
- Research, draft, edit and proofread written communications for a broad array of topics. Gather and compile information and data from various sources into the appropriate format for use in a variety of interactions. The format may include presentations, briefing materials, solicitations or talking points that would be used for discussions, meetings, events, proposals, reports and other correspondence.
- Relay and resolve routine telephone inquiries, establish and maintain records.
Project Management and Other Duties (10%)
- Assist with additional development and development operations functions as assigned.
- Perform a wide variety of special project work.
- Bachelor’s degree required.
- Two or more years of experience in non-profit, preferably an alum, development, educational or membership organization is preferred.
- Must possess a valid driver’s license as well as pass a background check including driving record upon offer of employment. A reliable mode of transportation is required.
Essential Functions:
- Ability to travel on O‘ahu as requested.
- Ability to sit at a desk and use a computer for extended periods of time.
- Occasional standing, walking, bending, reaching, and lifting of light office items up to 25 lbs.
- Ability to operate general office equipment such as computer, printer, photocopier, scanner, phone system, etc.
- Hand-eye coordination and manual dexterity to use office equipment and handle paperwork.
- Visual acuity to read printed and electronic documents and computer screens.
- Ability to communicate verbally and in writing so others will understand.
- Hearing and speaking abilities for in-person, phone, and video conversations.
