Job Description

Applicants must be permanent in the clerical associate civil service title or be permanent in a comparable title eligible for 6.1.9 title change. The Department of Social Services (DSS) is comprised of the administrative units of the New York City Human Resources Administration (HRA) and the Department of Homeless Services (DHS). HRA is dedicated to fighting poverty and income inequality by providing New Yorkers in need with essential benefits such as Food Assistance and Emergency Rental Assistance. DHS is committed to preventing and addressing homelessness in New York City by employing a variety of innovative strategies to help families and individuals successfully exit shelter and return to self-sufficiency as quickly as possible. Within DSS, the Human Resources Solutions (HRS)/Civil Service Initiatives Unit is responsible for managing and conducting all civil service hiring pools, appointments, reinstatements, inter-agency transfers, title changes and coordinating the new hire employee orientation. Human Resources Solutions (HRS) is recruiting for one (1) Clerical Associate IV to function as a Civil Service Hiring Pool Assistant, who will:

• Assist pool supervisors with the preparation for civil service hiring pools.
• Prepare call-in letters; print, copy, scan and distribute via e-mail and/or post office.
• Contact candidates via phone to confirm their hiring pool attendance.
• Collect, review and assemble civil service hiring pool related documentation.
• Prepare folders for processing and forward to Scheduling Unit.
• Data enter each action in Human Resources Tracking System (HRTS).
• Assist candidates in accessing and completing E-hire packets in NYCAPS. Troubleshoot NYCAPS issues with candidates NYCAPS profile.
• Prepare pool folders for scanning and indexing into the One Viewer.
• Assist with researching provisional employees' status on published or established civil service lists.
• Prepare and distribute Notice of Non-Selection' and At Risk' letters to candidates or existing employees.
• Liaise with medical and psychological vendors in acquiring appointments for candidates to be tested and maintain detailed spreadsheets of results.
• Assist with the data entry of candidates' disposition results in DCAS' PRISE system and identify selected candidates on a Ticket Change Notice (TCN) via Comprehensive Personnel System (CPS).
• Perform special projects and initiatives as assigned

Work Location: 4 World Trade Center, New York, NY Hours/Schedule: 9:00 AM to 5:00 PM

Minimum Qualifications

A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience. Skills requirement keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
