Administrative Associate

As a member of the Administrative Support Team , the Administrative Associate plays a critical role in coordinating multiple tasks across multiple business functions ranging from sales and inventory management to the service department. This is a full-time position, Monday through Friday. No holidays, no weekends, no late nights. Responsibilities Manage and triage the Orders and Admin inboxes, and internal requests to ensure timely communication and follow-through across departments. Process and distribute Credit Memos while verifying material accuracy and supporting documentation. Coordinate draw remittances, funding verification, and final payment processing to ensure transactions are reconciled promptly. Monitor internal dashboards and job queues to track approvals, deposit holds, and job readiness. Support production workflows by tracking job statuses through completion across internal systems. Conduct customer follow-ups to confirm job completion, collect final payments, and ensure satisfaction. Collaborate with cross-functional teams on contract reviews, approval workflows, and partner program processes. Verify financing approvals and assist customers with required documentation and submission requirements. Maintain an organized workflow while supporting team members and operational needs as they arise. Qualifications Excellent communication and interpersonal skills. Detail-oriented with strong organizational and multitasking abilities. Proficient in using relevant software and tools for permit tracking and documentation. Ability to work collaboratively in a team environment. Problem‑solving skills and the ability to adapt to changing regulations. Professional approach while possessing leadership characteristics. Ability to manage multiple priorities while maintaining effective customer service skills. Neat and professional appearance. Experience with Service Titan a plus. Legally authorized to work in the United States. Ability to pass drug‑screen and background check. Detail Oriented – verifies important details, ensures there are no surprises or gaps.
