This position reports to: Business Health, Safety & Env Manager

The HSE Administrative Assistant provides essential administrative and operational support to the HSE (Health, Safety, Environment) department and broader operations. This role is critical to maintaining HSE compliance, facilitating employee onboarding, managing access and badge systems, supporting hazard reporting, and fostering a positive safety culture. The successful candidate will coordinate administrative tasks, manage operational systems, and ensure accurate record-keeping while supporting HSE initiatives and employee engagement programs.

The work model for the role is: Onsite

Job Responsibilities:

• Maintain HSE documentation, records, and filing systems
• Prepare and organize materials for HSE meetings and events
• Schedule meetings, coordinate calendars, and manage communications
• Prepare meeting minutes, agendas, and follow-up items
• Update and maintain HSE SharePoint sites and document repositories
• Coordinate and lead new hire orientation and onboarding presentations for all new employees
• Order, prepare, and distribute employee badges

Job Qualifications:

• High school diploma or equivalent; some college coursework or associate degree in business administration, HSE, or related field preferred
• 2+ years of administrative or office support experience
• Experience in an HSE, facility operations, or administrative environment
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with data entry and database management systems
